An Import Documentation Executive manages the flow of imported goods by preparing, processing, and verifying critical documents (like Bills of Lading, Invoices, Packing Lists) while ensuring strict compliance with customs regulations and international trade laws, coordinating closely with suppliers, freight forwarders, customs, and internal teams for timely clearance and delivery, and resolving any discrepancies.
Key Responsibilities:
Documentation Management: Prepare, review, and process all import documents (B/L, HAWB, Commercial Invoice, Packing List, Certificate of Origin).
Compliance: Ensure all activities meet customs regulations, tariff codes (HS codes), and other statutory requirements (like FSSAI, AQ).
Coordination: Liaise with overseas suppliers, freight forwarders, customs brokers (CHA), shipping lines, and internal logistics teams.
Shipment Tracking: Monitor shipment status, trace goods, and provide regular updates to stakeholders.
Delivery Management: Coordinate with transporters for delivery orders and final collection from ports/CFS.
Record Keeping: Maintain organized records of all import transactions and documents.
Problem Solving: Resolve documentation discrepancies and shipment-related issues promptly. Essential Skills & Qualifications:
Knowledge: Strong understanding of import/export procedures, customs regulations, HS Codes, and Incoterms.
Attention to Detail: Crucial for accurate document preparation and compliance.
Communication: Excellent verbal and written skills for coordinating with diverse stakeholders.
Software: Proficiency in MS Office and relevant logistics/ERP software.
Experience: Proven background in import/export operations and documentation.
Soft Skills: Organizational skills, ability to work under pressure, time management, and teamwork.
