HR Coordinator

Position Overview



The HR Coordinator will support the day-to-day human resource operations of our engineering and automation firm. This role involves managing employee records, coordinating recruitment and onboarding, assisting in payroll and compliance activities, and supporting management in maintaining a positive and efficient workplace culture.
Because we are a small, dynamic team, the HR Coordinator will also handle a variety of administrative responsibilities and help streamline HR and office processes.

Key Responsibilities1. Recruitment & Onboarding



Post job openings, screen applications, and coordinate interviews with technical managers. Support in shortlisting and scheduling candidates for engineering, design, and field service roles. Prepare offer letters, appointment letters, and joining documents. Conduct orientation for new hires, ensuring they are familiar with company policies, safety practices, and team structure. Maintain an updated database of resumes and candidate profiles for future requirements.

2. HR Administration & Documentation



Maintain accurate employee files (digital and physical), including attendance, leave records, and contract renewals. Track probation completion, performance reviews, and confirmations. Draft HR-related letters such as experience certificates, warning letters, and policy notices. Maintain compliance-related documentation (PF, ESIC, professional tax, etc.) in coordination with consultants. Manage and update HR forms, templates, and internal communication formats.

3. Payroll & Attendance Coordination



Coordinate monthly attendance and leave data for payroll processing. Assist in calculating incentives, overtime, and reimbursements. Liaise with the accounts team or external payroll service provider for timely disbursal. Address employee payroll queries promptly and accurately.

4. Employee Engagement & Office Support



Plan and support small-scale employee engagement initiatives (birthday celebrations, team lunches, festivals, etc.). Handle internal communication related to HR policies, office timings, and general announcements. Support in organizing training programs or safety sessions for engineering and technical staff. Help maintain a professional and positive work environment in line with company culture.

5. Policy, Compliance & Support to Management



Ensure HR policies are implemented fairly and consistently. Assist management in handling disciplinary or grievance matters confidentially. Maintain awareness of labor law requirements applicable to small and medium enterprises. Support management in HR-related reports, manpower planning, and internal audits.

Qualifications



Bachelor's degree in HR, Business Administration, or equivalent field. 1-3 years of HR experience, preferably in a small or mid-sized engineering/manufacturing/automation setup. Basic understanding of HR processes, payroll, and statutory compliances (PF, ESIC, Gratuity, etc.). Proficiency in MS Office (Excel, Word, Outlook); familiarity with HR software or ERP is a plus. Strong communication, organization, and interpersonal skills. Ability to maintain confidentiality and work independently with minimal supervision.

Maintain accurate and up-to-date HR data and documentation. Ensure smooth and timely completion of payroll and onboarding processes. Promote a collaborative, employee-friendly work environment. Demonstrate initiative in improving HR systems and communication within the company. Provide reliable support to management in HR and office administration tasks.

Reporting Structure



Reports to: Director / HR Manager (if applicable) Coordinates with: Accounts, Engineering Design, Project Execution, and Administration teams
Job Type: Full-time

Pay: ₹15,000.00 - ₹25,000.00 per month

Expected Start Date: 15/11/2025
