Your Key Responsibilities:
Work with the employee and vendor to verify medical surveillance tests are booked, create new testing protocols as needed, and ensure the test(s) ordered meet legislative requirements
Manage medical surveillance tracking through an HSSE SharePoint
Follow up with employees and/or supervisors on outstanding tests, submissions or missed surveillance
Answer questions that employees/supervisors may have
Coordinate custom frequency for testing if required by our vendor's Medical Director
Communicate clearance documents to employees for their records and update Stantec HSSE records
Facilitate meetings with the vendor contact to discuss/resolve issues, work to improve process
Process invoicing for employee medical surveillance testing
Coordinate with the development team for any Medical Surveillance application concerns
Continuously improve the program and coordinate the communication of changes related to the Medical Surveillance application
Coordinate and document ergonomic follow up activities based on submissions in Stantec's incident management portal.
Communicate with the regional and BOU HSSE team in Canada on items requiring their support
Assist with information gathering and reporting
Support assessment and refinement of HSSE processes and procedures (as needed and as they apply to Canada) so they remain effective and continue to meet employee and organizational needs
Your Capabilities and Credentials:
Well-developed communication skills, both written and verbal
Basic understanding of office-based ergonomics is an asset
Strong interpersonal skills. Capable of delivering, preparing, and presenting to groups
A willingness to work in a team atmosphere with a minimal amount of supervision
Excellent organizational skills and attention to detail
Demonstrated ability to handle multiple priorities and assignments
Understanding or willingness to learn the Canadian health, safety and environmental regulatory framework
Proficiency in Microsoft Office, SharePoint and Adobe Acrobat is required
Bilingual in English and French is an asset
Education and Experience:
Diploma/certificate or equivalent combination of education and experience related to data management/administrative support is preferred
Minimum five (3) years' related experience in an administrative role
HSSE related education and/or experience is considered an asset
