The HR Trainee is responsible for supporting all HR functions including recruitment, onboarding, employee relations, performance management, training, attendance & payroll support, compliance, policy implementation, HR documentation, and administrative coordination. The role ensures smooth HR operations across all stores and departments and supports the HR leadership team in driving people-related initiatives.
Roles & Responsibilities
1. Recruitment
Source, screen, and shortlist candidates based on manpower requirements provided by the GM.
Coordinate interviews and ensure timely closure of positions.
2. Employee Onboarding
Handle end-to-end onboarding including documentation, induction, and training coordination.
Conduct orientation as per the instructions of the GM.
Ensure all employee records and joining formalities are completed accurately.
3. Employee Relations
Visit stores and departments to build healthy and cordial employee relationships.
Understand employee concerns, escalate to the GM, and facilitate resolution.
Support grievance redressal with the approval of the GM.
Promote teamwork through employee engagement activities and surveys.
4. Performance Management
Document s (JDs) and prepare KPIs for employees.
Track employee performance and conduct monthly reviews with Reporting Managers.
Submit monthly performance reports to the GM.
Provide constructive feedback and identify areas for improvement.
5. Training & Development
Identify training needs for employees.
Design training programs under the guidance of seniors.
Implement training sessions to enhance skills and knowledge.
Measure training effectiveness and report monthly to the
GM
.
6. Attendance & Leave Management
Monitor daily attendance across all employees.
Process leaves applications and approvals.
Calculate monthly attendance, working days, Loss of Pay (LoP), overtime, and extra hours for payroll.
7. Payroll Support
Prepare salary calculation sheets with additions and deductions.
Prepare the monthly salary payment sheet and send it for approval to the GM.
8. Statutory Compliance
Process PF/ESI payments monthly as per salary sheet.
File statutory returns before due dates.
Ensure compliance with labour laws, company policies, and HR procedures.
9. Policy Implementation
Support payroll processing, employee benefits, and HR policy implementation.
Ensure consistent application of HR policies across all locations.
10. HR Documentation & Data Management
Prepare and maintain personal files for all employees.
Maintain and update the employee database.
Assist with HRMS and HR automation tasks.
11. Administration Support
Coordinate with Security, Infrastructure, Housekeeping, and Office Administration teams.
Ensure maintenance, cleanliness, and safety standards in office and store locations.
Support general office management responsibilities.
1. Specific Tasks & Measurables

Visit stores and talk to employees to understand issues and report to the GM.
Handle employee grievances with approval from the GM.
Prepare JDs and KPIs and update performance review reports every month.
Identify training needs, conduct training, and submit monthly training effectiveness reports.
Manage attendance, leave records, LoP, overtime, and working day calculations.
Prepare monthly salary sheets and send for GM approval.
Make PF/ESI payments and file statutory returns before due dates.
Maintain personal files, employee database, and HRMS updates.
Support office administration, security, housekeeping, and infrastructure tasks.
2. Skills & Competencies
Good communication and interpersonal skills.
Strong documentation and organizational ability.
Basic knowledge of PF, ESI, payroll, and HR compliance.
Ability to handle employee issues calmly and professionally.
Good computer skills (Excel, HRMS, emails).
Positive attitude, confidentiality, and discipline.
3. Qualifications
Bachelor's degree in HR or Business Administration.
1-3 years of experience in HR operations (retail preferred).
Basic knowledge of payroll, attendance systems, and statutory compliance.
Willingness to travel to stores when required
