Certifications in Labour Laws, Compliance, or HR Operations
1. Job Purpose
To oversee HR operations related to Transport, Peons, Housekeeping, Security, and ancillary staff, while ensuring complete statutory compliance and smooth coordination with external authorities, especially Police Departments for verifications, legal matters, and incident management. The role ensures disciplined operations, timely execution of HR processes, and adherence to organizational policies.
2. Key Responsibilities
A. Manpower Management (Transport, Peon & Ancillary Staff)
Manage recruitment, onboarding, attendance, deployment, and scheduling of transport staff, peons, housekeeping, and support staff.
Monitor staff performance, discipline, punctuality, and behavioral standards.
Ensure daily duty rosters and adequate manpower availability.
Conduct training sessions on hygiene, behavior, safety, and emergency protocols.
Address staff issues promptly and professionally.
B. Transport HR & Operations Coordination
Maintain complete records for drivers, conductors, and transport staff including licenses, medical fitness, and background documents.
Work closely with Transport In-Charge for daily route assignments and emergency replacements.
Ensure timely police verification for all drivers, conductors, and contractual transport staff.
Manage incident reporting, accident documentation, and compliance procedures.
C. Police Coordination & Legal Compliance
Liaise with the local Police Department for:
Police verification of staff (drivers, conductors, peons, security, housekeeping).
Verification for new joiners and contractual staff.
Reporting incidents, complaints, or disciplinary matters requiring official intervention.
Managing documentation for missing items, accidents, or legal compliance.
Maintain records of all police communication and ensure confidentiality.
Support management in handling sensitive cases with professionalism and accuracy.
D. Statutory Compliance & Documentation
Ensure compliance with ESIC, PF, Gratuity, Minimum Wages, Shops & Establishment Act, POSH, Child Safety Guidelines, and other statutory requirements.
Maintain updated staff personal files, ID cards, attendance, leave, and contract documents.
Conduct compliance audits and maintain MIS reports.
Coordinate vendor compliance for transport, housekeeping, and security contractors.
E. HR Processes & Operational Support
Execute full-cycle HR processes from recruitment to exit for all ancillary staff.
Monitor probation, performance evaluations, and KRA tracking.
Prepare payroll inputs--attendance, overtime, route allowances, shift duties.
Assist management with manpower planning, budgeting, and operational reports.
F. Employee Relations & Workplace Discipline
Foster a professional and safe working environment.
Counsel employees for behaviour and performance issues.
Manage grievances, misconduct cases, investigations, and disciplinary actions.
Promote adherence to school rules, behaviour policies, and safety standards
3. Skills & Competencies
Strong knowledge of HR operations and labour laws.
Ability to coordinate professionally with Police and Government Departments.
Leadership skills with the ability to manage large support teams.
Excellent communication, crisis-handling, and conflict-resolution skills.
Proficiency in documentation, HRMS, MS Office, and compliance tracking.
High level of integrity, confidentiality, and professionalism.
