1. Position Overview



The Plant HR & Admin Manager is responsible for

strategic HR leadership, day-to-day HR operations, industrial relations, administration management, and statutory compliance

at the plant. The role also covers

Fire & Safety oversight, FSSAI compliance, Training & Development, and SADEX (or Sedex/SMETA) social compliance requirements

, ensuring the plant operates smoothly, safely, and legally.

2. Key Responsibilities



A. Strategic HR & Business Partnering



Act as a strategic HR partner to Plant Leadership to improve productivity, people capability, and work culture. Drive long-term manpower planning, talent development, and succession planning for critical plant roles. Lead HR analytics--attrition, absenteeism, overtime, manpower cost, productivity improvement. Support annual operating plan (AOP) and HR budget planning. Drive change-management projects such as process improvements, automation, skill upgradation, and organizational restructuring. Align HR roadmap with business goals (Quality, Safety, Output, Cost, Compliance).

B. HR Operations & Workforce Management



Manage all HR processes for workmen, staff, and contract workers. Oversee recruitment, onboarding, induction, shift deployment, attendance, and HRIS updates. Prepare HR dashboards, MIS, compliance trackers, and manpower reports. Ensure effective shift planning and workforce optimization.

C. Industrial Relations (IR)



Maintain harmonious relations with workers, supervisors, and union representatives (if applicable). Handle grievances, counseling, disciplinary actions, charge sheets, and domestic inquiries. Conduct standing orders implementation and ensure plant discipline. Liaison with labor departments, local authorities, and external agencies.

Additional IR Responsibilities



Represent the plant during inspections related to

Factories Act, Labor Laws, ESIC, PF, Fire & Safety authorities, Food Safety (FSSAI)

. Drive compliance with

SADEX/Sedex/SMETA audits

, including worker safety, ethical standards, social accountability, and documentation readiness.

D. Administration Responsibilities



Manage plant administration including housekeeping, security, facilities & utilities. Monitor AMC vendors, plant repairs, office supplies, visitor management, and infrastructure upkeep. Optimize admin budget and control administrative expenses. Ensure proper functioning of gate management, uniform distribution, and plant hygiene standards. Manage company accommodation, travel arrangements, and plant logistics support.

E. Safety, Fire & Compliance Management



Support the EHS team in implementing fire safety systems, PPE usage, safety drills, and legal compliance. Coordinate Fire Safety Training, fire audits, and emergency preparedness programs. Ensure the plant complies with

Factory Safety Rules

, Fire Department norms, and internal safety SOPs. Maintain safety records, accident registers, and investigation reports.

F. FSSAI Compliance & Food Safety Oversight



Work closely with the QA/FSSAI team to meet food safety HR-related compliance. Train employees on hygiene, GMP, GHP, and FSSAI plant standards. Ensure medical fitness checks, PPE compliance, and hygiene discipline of all employees. Prepare documentation for FSSAI audits and ensure corrective & preventive actions (CAPA).

G. Training & Capability Building



Prepare annual training calendar based on plant needs (HR, Safety, Fire, Hygiene, Technical Skills). Conduct induction, behavioral training, safety training, and skill development programs. Maintain training records, skill matrix, SOP awareness sessions, and compliance training. Partner with external trainers and agencies for specialized sessions (e.g., fire drill, first aid).

H. SADEX / Sedex / SMETA & Social Compliance



Drive Sedex/SMETA audit readiness including labor standards, worker welfare, safety, ethical practices, and documentation. Ensure compliance with: Working hours Wages & benefits Anti-harassment policies Occupational health & safety Ethical sourcing & labor practices Maintain all social compliance records and follow-up for audit closure.

I. Statutory Compliance & Contractor Management



Ensure 100% compliance with: Factories Act PF & ESIC CLRA Minimum Wages & Payment of Wages Bonus, Gratuity, Maternity Benefits Safety & Fire Norms FSSAI Worker Hygiene Requirements Validate contractor bills, statutory documentation, muster rolls, and audits.

J. Payroll, Compensation & Workforce Cost Control



Support payroll processing, overtime validation, statutory deductions, and incentive calculations. Monitor workforce utilization and ensure cost-effective manpower deployment. Drive productivity improvement initiatives.

3. Required Qualifications & Skills



Education



MBA/MSW/PGDHRM or equivalent in HR & Industrial Relations.

Experience



5-12 years in Manufacturing HR, IR, Admin, and Safety-related functions. Experience in food manufacturing (FSSAI environment) preferred. Experience with

Sedex/SMETA

compliance is a strong advantage.

Technical Skills



Strong knowledge of labor laws and factory compliance. Good understanding of safety, fire, FSSAI standards. HRIS & Excel proficiency, HR dashboards, MIS reporting. Handling audits: FSSAI, Labor, Fire, Sedex/SMETA.
