Job Purpose:

The HR & Finance Coordinator plays a dual-role function, responsible for overseeing the day-to-day financial inflows (including payment tracking and failed payment resolution) and supporting HR operations by maintaining accurate records of staff attendance, hours, holidays, and bonuses. This role is crucial to ensuring operational efficiency and financial transparency across all departments.

Key Responsibilities:1. Daily Financial Monitoring & Reconciliation

Monitor daily payments received via Stripe, GoCardless, bank transfers, and other platforms.

Track and report number of successful payments and total payment value received daily.

Identify and log failed, delayed, or reversed payments, escalate to appropriate teams for follow-up, and ensure resolution timelines are tracked.

Maintain an accurate daily payment dashboard or report, summarising: total payments received, failed payments, refunds processed, net income.

Collaborate with the Finance and Customer Service teams to ensure payment queries are resolved efficiently.

2. Staff Commission & Bonus Tracking

Maintain a monthly commission register for sales and support staff, capturing enrolments, commission amounts, and bonuses.

Validate and cross-check all commission entries against enrolment/payment records to ensure accuracy.

Provide mid-month and end-of-month summaries to management.

Ensure timely communication of approved bonuses to payroll/finance.

3. Course Dropout & Retention Tracking

Monitor course enrolment lists weekly to identify dropouts and reasons for withdrawal.

Maintain a structured dropout tracker to analyse patterns and inform retention strategies.

Generate monthly reports on dropout trends.

4. HR Admin - Attendance, Hours & Leave Tracking

Maintain daily staff attendance logs, including presence/absence, sick leaves, and holidays.

Record and monitor weekly hours worked by all employees.

Oversee the annual leave balance for each employee and ensure policy compliance.

Maintain a secure and updated staff HR file with all relevant documentation.

5. Reporting & Systems Maintenance

Regularly update internal databases or spreadsheets (e.g., Airtable, Google Sheets, HRIS, or CRM systems).

Prepare weekly reports for management on payments, commissions, attendance, and dropouts.

Ensure data integrity and backup procedures are followed rigorously.

Flag automation opportunities or issues in reporting pipelines.

Key Skills & Competencies

Strong numerical and analytical skills

High attention to detail and accuracy

Proficiency in Excel/Google Sheets and finance or HR platforms (e.g. Xero, QuickBooks, Zoho)

Ability to handle sensitive information with discretion and confidentiality

Clear communication skills and ability to liaise with staff across departments

Well-organised, with an ability to prioritise and manage multiple tasks

Experience & Qualifications

Previous experience in a combined HR and finance coordination role preferred

Familiarity with subscription-based or course-based business models is a plus

Understanding of payroll systems, commission structures, and payment gateways (e.g. Stripe, GoCardless)

Strong administrative background with exposure to HR policies and record-keeping

KPIs (Key Performance Indicators)

100% daily reconciliation of payments and failed payments

Timely and accurate commission calculations (by 3rd working day of each month)

<24 hour turnaround for attendance & holiday logging

100% monthly report submission on staff bonuses and learner dropouts

Zero data entry or processing errors in HR & finance trackers

Job Types: Full-time, Part-time

Pay: ₹15,000.00 - ₹25,000.00 per month

Expected hours: 45 per week

Balongi, Mohali, Punjab: Reliably commute or planning to relocate before starting work (Preferred)
