Reporting To: HR Manager / Director / Managing Director
Job Summary:
The HR & Admin Executive is responsible for managing day-to-day human resource and administrative operations, including employee attendance, payroll, leave management, recruitment, documentation, and office record maintenance. The role also supports production documentation, ISO/ZED compliance, and coordination with customers and vendors.
Key Responsibilities:
Human Resource Management
Check and record daily attendance of all employees.
Prepare and maintain the monthly salary sheet.
Calculate and manage employee leaves accurately.
Verify and process employee leave applications.
Collect and maintain employee medical and other HR-related documents.
Recruit new employees as per office or project requirements.
Collect and file employee self-assessment and performance reports.
Administrative & Documentation Responsibilities
Verify all incoming materials with challans and maintain proper entry records.
Communicate with customers for IPOs or work orders as required.
Prepare delivery challans for outgoing materials and update the dispatch register.
Generate invoices corresponding to delivered materials.
Maintain complete production and transaction records, including:
Incoming challan number
Purchase Order (PO) number
Production date
Delivery challan number
Delivery date
Invoice date and number
Payment status
Manage and maintain all office documentation in line with ISO and ZED standards.
Quality & Compliance Responsibilities
Monitor and maintain instrument health and calibration status.
Prepare and update ISO/ZED audit-related documents and reports.
Business Development Support
Search and connect with potential new customers.
Identify and develop relationships with new vendors and suppliers.
Qualifications & Skills Required:
Bachelor's degree in HR, Business Administration, or related field.
1-3 years of experience in HR or administrative roles (preferred).
Strong knowledge of MS Office (Excel, Word, PowerPoint).
Familiarity with payroll and attendance management.
Good communication and interpersonal skills.
Knowledge of ISO/ZED standards is an advantage.
