The HR Executive will support the GM - HR in the day-to-day operations across workforce attendance, recruitment, worker transportation, canteen management, workplace hygiene, farm-related logistics, and compliance-related coordination. This is an execution-heavy role that ensures smooth functioning of both the garment unit and farm support systems, while also contributing to audits, certifications, and infrastructure planning.
Key Responsibilities
1.
Transport Assistance
Maintain daily vehicle deployment sheets for staff and farm movements.
Track driver attendance, fuel slips, and trip logs.
Liaise with drivers, mechanics, and transport vendors for vehicle servicing, maintenance, and breakdown support.
Coordinate or accompany farm worker pickups and movement of raw materials or harvested crops as per seasonal needs.
2.
Recruitment Support
Assist in recruitment planning for tailors, farm workers, cutting staff, QC, and admin roles.
Coordinate with manpower agents, vocational institutes, and employment offices.
Organize walk-in interviews, trade tests, and trial runs; maintain recruitment tracker.
Collect documents from selected candidates and complete onboarding formalities.
3.
HR & Attendance Administration
Monitor daily attendance using registers or biometric systems.
Report absentees to department heads and maintain leave records.
Support onboarding: collect documents, issue ID cards and uniforms.
Maintain employee master files and assist in PF/ESI registration and updates.
4.
Canteen Monitoring
Track daily meal headcount and ensure timely food service.
Handle worker complaints or food-related concerns and coordinate with the canteen vendor.
Maintain hygiene checklists, kitchen cleanliness audits, and feedback logs.
5.
Workplace Hygiene Oversight
Supervise factory cleaning staff and maintain daily cleaning logs.
Refill and maintain stock of cleaning supplies, toiletries, and basic sanitation items.
Escalate sanitation issues, facility breakdowns, or repair needs for immediate resolution.
6.
Compliance, Certifications & Audit Support
Assist in documentation and coordination for social, environmental, and labor audits (e.g., SEDEX, GOTS, SA8000).
Maintain records of fire drills, safety equipment servicing, and legal compliance logs.
Coordinate vendor communications or facility inspections related to certifications.
Support the HR and Admin team with audit readiness documentation and internal checks.
7.
Infrastructure & Building Compliance Follow-up
Track and follow up on new building norms (e.g., labor housing, safety, waste disposal).
Coordinate with architects, consultants, or compliance officers for approvals or inspections.
Maintain logs and checklists for construction-related HR compliance.
8.
Reporting & Documentation
Maintain updated checklists, logs, and reports for:
Vehicle usage and trip records
Worker/staff attendance and leaves
Canteen headcount and hygiene reports
Cleaning audit checklists
Recruitment and onboarding progress
Audit and compliance documentation
Support preparation of weekly or monthly reports for GM - HR.
Preferred Skills & Qualities
Proficient in Microsoft Excel, WhatsApp communication, and Google Forms.
Fluent in Tamil; working knowledge of English preferred.
Proactive and hands-on, with willingness to work on-ground (factory and farm).
Good coordination and interpersonal skills to manage workers, drivers, canteen, vendors, and consultants.
Organized, punctual, and dependable in day-to-day follow-through.
