Role Overview




The HR Executive will be responsible for managing end-to-end employee lifecycle activities including Fixed Term Contract extensions, employee absorption processes, probation-to-confirmation workflows, trainee absorption, and coordination with various ICs (Independent Companies). The role ensures compliance with company policies, timely processing in HR systems, and seamless communication between stakeholders.

Key Responsibilities



1. Fixed Term Contract (FTC) Extension



Track employees whose FTC is nearing expiry and initiate timely renewal processes. Coordinate with IC HR/IS Heads to confirm extension decisions. Update status and process extensions in MyZone/HRMS before due dates. Ensure documentation accuracy and maintain extension trackers.

2. Absorption Process (Retainer / Trainee / FTC to Regular)



Initiate the absorption workflow based on IC recommendations. Collect and verify necessary documents (CTC, approvals, education, experience, etc.). Prepare offer letters / absorption letters in line with policy guidelines. Coordinate with Talent Acquisition, HRBPs, and IC teams for timely completion.

3. Probation to Confirmation



Track probation end dates and trigger confirmation assessments. Follow up with IS Supervisors and IC Approvers for ratings and recommendations in MyZone. Verify performance inputs and process confirmation approvals. Issue confirmation letters and update employee status in HRMS.

4. Coordination & Stakeholder Management



+ Interact regularly with IC HR teams, IS Heads, supervisors, and other stakeholders.
+ Follow up to collect required data such as CTC details, approvals, trackers, and documentation.
+ Handle escalations regarding delays, discrepancies, or system-related issues.
+ Provide timely updates to managers and IC HR on process status.

5. Employee Support



+ Address employee queries related to contract status, confirmation, or absorption.
+ Provide guidance on policies, MyZone processes, and document submission.

- Proficiency in HRMS tools (MyZone, SAP, etc.)
- Attention to detail and documentation accuracy
- Ability to manage multiple tasks and deadlines

- Good understanding of HR policies and compliance
