Job Description

HR EXECUTIVE

1. Joining Formalities & Onboarding

Maintain hard copies and digital records of all employee documents.

Prepare and issue offer letters; obtain signed acknowledgements from employees.

Create and maintain the Employee Master Sheet and Interns Sheet.

Maintain asset allocation records (laptops, SIMs, diaries, etc.).

Maintain official email IDs and contact number records.

Conduct onboarding and induction sessions covering company overview, policies, and reporting structure.

Conduct thorough background verification by:

Contacting HR of previous employers for role, tenure, and conduct confirmation.

Gathering feedback from previous reporting managers.

Maintaining a background verification tracker with closure status.

Ensure all joining formalities are completed within one week of joining.

2. Full & Final (F&F) Settlement

Obtain resignation acceptance and F&F acknowledgment signatures.

Ensure submission of all company assets and clearance forms before processing F&F.

Coordinate with Accounts and Reporting Managers for timely settlements.

Maintain an F&F record and clearance checklist for audit readiness.

3. Recruitment & Hiring

Handle end-to-end recruitment and close job positions within a 30-day timeline.

Draft and publish accurate s (JDs).

Manage recruitment portals, vendor tie-ups, and subscription renewals.

Conduct campus drives and walk-in interviews as required.

Screen resumes, coordinate interviews, and manage candidate communication.

Maintain a recruitment tracker for all active and closed positions.

4. Attendance, Leave & Payroll Coordination

Maintain attendance through WhatsApp or biometric check-ins/check-outs.

Report consistent latecomers and absenteeism to management.

Send reminders and warning messages for repeated late logins.

Maintain leave records and process leave approvals as per policy.

Prepare and validate the monthly salary tracker with Accounts.

Maintain attendance summaries for payroll processing and audits.

5. Employee Engagement, Events & Celebrations

Prepare an annual HR calendar covering events, birthdays, work anniversaries, and festivals.

Plan and execute approved events within budget.

Conduct regular employee engagement activities and monthly recognition programs.

Coordinate the yearly increment and appraisal process with management.

Organize AGMs, team outings, and HR-driven culture initiatives.

6. Performance Management

Develop and implement Performance Improvement Plans (PIPs).

Set and monitor Key Performance Indicators (KPIs) with department heads.

Support annual and mid-year appraisals and maintain evaluation documentation.

Conduct regular feedback and review meetings for performance follow-ups.

7. Employee Relations

Foster a positive, transparent, and engaging workplace culture.

Handle employee grievances and interpersonal conflicts professionally.

Conduct employee satisfaction surveys and address feedback constructively.

Implement employee recognition and retention programs.

Support disciplinary actions with proper documentation and fairness.

8. HR Administration & Documentation

Maintain updated HR files, trackers, and digital records.

Ensure confidentiality and compliance with company policies.

Prepare the annual HR budget covering hiring, events, increments, and AGMs.

Maintain HR documentation for compliance, statutory, and audit requirements.

Generate monthly HR MIS reports and dashboards for management review.

9. Miscellaneous

Coordinate cab reimbursements and other employee expense claims with the Accounts team.

Manage PF implementation and related statutory compliances.

Create CTC break-ups and ensure they are accurately reflected in offer letters.

Provide timely monthly updates of health and term insurance policies; coordinate with vendors for renewals and additions.

Maintain a vendor database and build strong relationships with recruitment agencies -- engage them for emergency hiring only.

Organize annual training programs for employees and management focusing on skill development and compliance awareness.

Prepare professional presentations as needed -- including company introduction decks, onboarding presentations, and HR reports.

Support management in ad hoc HR projects and strategic initiatives.

Job Type: Full-time

Pay: ₹25,000.00 - ₹35,000.00 per month
