Role Summary
The HR Executive will be responsible for end-to-end HR documentation, DMS management, HRMS updates, employee onboarding, and day-to-day employee interaction. The role will also drive employee engagement activities, create HR infographics/communications, and support HR automation initiatives using office productivity and collaboration tools.
Key Responsibilities
1. HR Documentation & DMS Management
Create, issue, and maintain HR documents such as offer letters, appointment letters, confirmations, amendments, warning letters, and separation letters.
Maintain accurate and updated employee personnel files (physical and digital) ensuring completeness and confidentiality.
Manage the HR Document Management System (DMS), including document indexing, version control, access rights, and archival.
Standardize templates and ensure documents adhere to company policies and applicable statutory requirements.
Support internal and external audits by providing required HR documentation and records.
2. HR Onboarding & Induction
Coordinate pre-joining formalities (documentation, background verification coordination, CTC break-up clarification, joining communication).
Conduct joining day formalities - document collection, HR forms, ID creation requests, HR orientation, and policy briefing.
Create and update onboarding checklists and ensure all stakeholders (IT, Admin, Payroll, Reporting Manager) complete their activities on time.
Track probation confirmations and issue confirmation letters in coordination with managers.
3. HRMS & Data Management
Ensure timely and accurate employee data entry and updates in HRMS (new joinees, transfers, role changes, exits, etc.).
Regularly audit HRMS data for accuracy (personal details, reporting structure, grade, location, etc.).
Generate standard HR reports/MIS (headcount, joiners-leavers, demographics, etc.) and share with HR/Business as required.
Coordinate with vendors/IT for resolution of HRMS issues and minor enhancements.
4. Employee Interaction & Query Resolution
Act as a first-level point of contact for employee HR queries related to policies, documents, and HRMS.
Guide employees on processes (leave, attendance, claim submission, personal data updates, etc.).
Escalate complex queries to HR Business Partners while ensuring timely closure and feedback to employees.
Support grievance capture and tracking as per defined process.
5. Employee Engagement & Communication
Plan and execute employee engagement activities (festivals, R&R, birthday/anniversary communications, wellness or theme days, etc.) in coordination with HR and site leadership.
Prepare concept notes, event mailers, posters, and feedback forms for engagement initiatives.
Capture and publish engagement highlights on internal platforms (emails, intranet, WhatsApp/Teams groups, digital notice boards).
Support surveys (EOS, pulse checks, event feedback) and consolidate responses for analysis.
6. HR Infographics & Content Creation
Design HR infographics for policies, processes, HR metrics, and campaigns (e.g., POSH awareness, Code of Conduct, leave policy).
Create visually clear and engaging dashboards/posters for HR communication using tools like PowerPoint, Canva, or similar.
Ensure brand-aligned and employee-friendly communication tone and visual design.
7. Office Automation & Process Improvement
Use advanced MS Office/Google Workspace tools (Excel, PowerPoint, Word, Forms, SharePoint, Teams, etc.) to streamline HR workflows.
Build and maintain basic trackers, dashboards, and automated templates/macros where applicable.
Suggest and implement small process improvements in documentation, approvals, and communication flows.
