To effectively handle Time Office activities, employee onboarding, contractor workforce administration, and ensure smooth HR operations in compliance with statutory requirements.
2. Key Responsibilities
A. Time Office Management
Maintain daily attendance, biometric records, muster roll, and shift schedules.
Ensure correct data entry for late coming, early going, absenteeism, weekly offs, and leave records.
Prepare monthly attendance summary for payroll processing.
Coordinate for overtime (OT) approvals and ensure proper documentation.
Monitor canteen records, gate pass reports, and visitor entry.
B. Employee Joining Formalities
Conduct pre-joining documentation and verification.
Issue offer letters, appointment letters, and collect required documents (ID proof, address proof, qualification certificates, etc.).
Conduct employee induction: company policies, safety rules, HR orientation.
Create employee files and update HRMS.
Complete PF & ESIC registration for new joinees.
Ensure smooth onboarding experience for new employees.
C. Contractor Workforce Management
Handle contractor employees' joining formalities and maintain their personal/ statutory documents.
Prepare and maintain contractor attendance and support monthly billing process.
Coordinate ESIC/PF compliance for contract labor.
Maintain shop-wise contractor list and manpower strength.
Ensure compliance with CLRA Act and support audit-related documentation.
D. Statutory Compliance & Documentation
Maintain records of PF, ESIC, bonus, leave, and other statutory registers.
Assist during labour audits, factory inspections, and statutory filings.
Maintain employee and contractor records in soft and hard copy.
E. HR Operations & General Administration
Support in training coordination and induction programs.
Handle uniform measurement, issue & record maintenance.
Assist in grievance management and communication between employee-management.
Co-ordinate canteen, transport, housekeeping, and security-related HR tasks.
Support HODs in any emergency or administrative requirement.
3. Required Skills & Competencies
Good knowledge of Time Office & attendance systems.
Understanding of labour laws (PF, ESIC, CLRA, Factories Act).
Strong communication and interpersonal skills.
Good MS Excel and documentation skills.
Ability to handle pressure and maintain confidentiality.
4. Qualification & Experience
Graduate / MBA in HR or equivalent.
1-5 years
experience in HR Operations / Time Office / Contractor management (preferred).
