The HR Documentation Specialist is responsible for creating, managing, and maintaining accurate and up-to-date HR documentation and employee records. This role ensures compliance with internal policies and regulatory requirements by supporting HR processes with proper documentation practices.
Key Responsibilities:
Prepare and maintain all HR documents, including offer letters, appointment letters, employee contracts, confirmation letters, and termination notices.
Maintain and update employee records (digital and physical) in compliance with data protection regulations.
Assist in drafting HR policies, procedures, and handbooks.
Ensure accurate and timely documentation of employee lifecycle events (onboarding, promotions, transfers, exits, etc.).
Organize and audit HR files for completeness and compliance.
Collaborate with HR team members and other departments to gather necessary documentation.
Support internal and external audits by providing required documentation.
Maintain confidentiality of employee information and company documents.
Update HR databases and HRMS systems with relevant documentation details.
Assist with documentation for statutory compliance (PF, ESIC, labor laws, etc.).
Requirements:
Bachelor's degree in Human Resources, Business Administration, or related field.
1-3 years of experience in HR administration or documentation preferred.
Strong attention to detail and organizational skills.
Excellent written and verbal communication skills.
Familiarity with labor laws and HR compliance documentation.
Proficiency in MS Office (Word, Excel, Outlook); experience with HRMS/HRIS is a plus.
Ability to maintain confidentiality and handle sensitive information with integrity.
Preferred Skills:
Experience in HR operations or employee records management.
Knowledge of document control systems or DMS (Document Management Systems).
Basic understanding of HR audit procedures.
