The HR Compliance Executive is responsible for ensuring full compliance with all labour laws, security regulations, statutory requirements, and court-related documentation, including PSARA norms. This role involves managing audits, handling legal notices, maintaining statutory records across all sites, and ensuring organizational and client compliance at all times.
Key Responsibilities:1. Statutory & Labour Law Compliance
Ensure compliance with EPF, ESIC, Bonus, Gratuity, CLRA, Minimum Wages, Shops & Establishment Act.
Maintain statutory registers--attendance, wage register, leave register, muster roll, and Form A-D.
Timely submission of challans, monthly returns, and compliance reports.
Manage Contract Labour License--application, renewal, amendments, and closures.
2. Security & PSARA Compliance
Ensure compliance with
PSARA (Private Security Agencies Regulation Act)
for security staff.
Maintain records of security guard training, police verification, medical fitness, and background checks.
Coordinate with PSARA controlling authority for renewals and audits.
Ensure that all security personnel deployed at sites meet PSARA guidelines.
3. Court Cases & Legal Documentation
Maintain and track all ongoing
court cases related to labour disputes, wage issues, PF/ESIC claims, or employee grievances
.
Prepare documentation for
Labour Court, Industrial Tribunal, Authority under Minimum Wages, PF Appellate Tribunal
, etc.
Coordinate with company legal counsel for case updates, hearing dates, and evidence submission.
Draft replies for
labour notices, show-cause notices, and legal queries
.
Ensure timely compliance with any court directions or orders received.
4. Audits & Inspections
Manage internal and external compliance audits including client audits, statutory audits, labour inspections, and PSARA inspections.
Prepare documentation and ensure 100% audit readiness for all locations.
Close audit observations within the required timeline.
5. Documentation & Record Management
Maintain employee files, offer letters, ID proofs, police verification, and statutory documents.
Ensure proper filing of attendance, salary sheets, deployment sheets, and site compliance documents.
Prepare and submit monthly compliance MIS to management and clients.
6. Payroll Support
Validate attendance and wage calculations as per statutory norms.
Ensure correct PF/ESIC deductions and minimum wage payments.
Coordinate with payroll and site teams for wage-related observations.
7. Client & Vendor Coordination
Submit monthly compliance files to clients (PF, ESIC, salary sheets, licenses, GST, PSARA compliance).
Work with subcontractors to ensure they follow statutory and PSARA rules.
Address client queries related to compliance, documentation, and manpower records.
Skills & Competencies Required
Strong understanding of labour laws, PSARA norms, and statutory compliance.
Knowledge of court case processes, legal notices, and documentation.
Excellent coordination and communication skills.
Strong command of MS Excel and documentation tools.
Ability to manage compliance across multiple sites.
