The HR Assistant - Documentation is responsible for maintaining accurate employee records, preparing HR-related documents, and supporting day-to-day HR administrative activities. The role ensures proper documentation, compliance, and smooth HR operations.
Key Responsibilities1. Employee Documentation
Maintain and update employee personal files (physical & digital).
Collect and verify employee documents (ID proofs, certificates, contracts).
Ensure proper filing of joining, confirmation, transfer, and exit documents.
Maintain confidentiality of employee information.
2. HR Records & Data Management
Update employee records in HR systems or Excel sheets.
Maintain attendance, leave, and payroll-related documents.
Track employee documentation status and follow up for pending documents.
3. HR Letters & Reports
Prepare HR letters such as offer letters, appointment letters, confirmation letters, warning letters, and experience letters.
Assist in preparing HR reports as required by management.
Maintain records of issued HR documents.
4. Onboarding & Exit Support
Support employee onboarding documentation and induction records.
Assist in exit formalities, including full & final documentation.
Coordinate with employees and departments for smooth processes.
5. Compliance & Policy Support
Ensure documentation complies with company policies and labor laws.
Support audits by providing required HR documents.
Maintain statutory and compliance-related records if applicable.
Skills & Competencies
Basic knowledge of HR processes and documentation.
Good communication and coordination skills.
Attention to detail and accuracy.
Ability to handle confidential information responsibly.
Proficiency in MS Word, Excel, and email communication.
Qualifications
Graduate / Diploma in HR, Business Administration, or related field.
0-2 years of experience in HR documentation or administration .

Pay: ₹15,000.00 - ₹20,000.00 per month
