The HR and Administration Executive Manager will be responsible for supporting the Human Resources and Administrative functions of the company. This role involves a mix of HR generalist duties, office administration, and ensuring the smooth day-to-day operations of the office. The ideal candidate will be proactive, highly organized, and possess excellent communication and interpersonal skills.
Key Responsibilities:
Human Resources:
Recruitment & On boarding:
Assist in the end-to-end recruitment process, including posting job advertisements, screening resumes, scheduling interviews, and coordinating with candidates. Prepare offer letters and conduct background checks.
Facilitate the new employee on boarding process, including preparing necessary documentation, conducting orientation, and ensuring a smooth integration into the company.
Employee Relations:
Act as a point of contact for employee queries regarding HR policies, benefits, and general HR matters.
Assist in resolving employee grievances and maintaining a positive work environment.
Organize and coordinate employee engagement activities and events.
HR Operations & Documentation:
Maintain accurate and up-to-date employee records (both physical and digital) in compliance with company policies and legal requirements.
Prepare HR-related documents, such as employment certificates, experience letters, and other correspondence.
Assist with performance management processes, including scheduling appraisals and maintaining records.
Support payroll processing by providing necessary data and documentation.
Statutory Compliance:
Stay updated on labor laws and regulations to ensure company compliance.
Assist in preparing reports required by statutory bodies.
ISO Certifications, audit conducts and coordinate with auditors
Administration:
Office Management:
Oversee the general upkeep and maintenance of the office premises, ensuring a clean, safe, and productive work environment.
Coordinate with vendors for office maintenance, repairs, and service contracts
Vehicle management, record keeping.
Insurance Vehicle, Projects and Group medicals.
Travel & Logistics:
Arrange business travel for employees, including flight bookings, hotel reservations, etc
Coordinate logistics for company events, meetings, and conferences.
Reception & Communication:
Draft and circulate internal communications as required.
Asset Management:
Maintain an inventory of company assets and manage their allocation and tracking.
Qualifications:
MBA-HR
Experience:
2+ years of experience in an HR and Administration role, preferably in Infrastructure companies
Strong understanding of HR principles, practices, and basic labour laws.
Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
