We are seeking a highly driven, organized, and resourceful
Junior HR & Studio Administrator
to join our growing creative team. This is a critical dual-function role, perfectly suited for a
fresher or recent graduate
who wants extensive, hands-on experience. You will be the backbone of the studio, ensuring smooth daily operations, managing essential HR functions, and actively driving our talent acquisition efforts.
Nature of Work and Core Responsibilities
This role manages two interconnected areas: maintaining our people (HR) and running our office (Admin).
A. Human Resources & Talent Acquisition (The People Focus)
Recruitment Coordination:
Manage the end-to-end recruitment process for all departments. This includes drafting, posting, and refreshing job descriptions on platforms like Indeed and LinkedIn, screening applications, and acting as the main point of contact for candidates.
Onboarding and Offboarding:
Prepare all contractual and statutory documents for new hires. Conduct initial orientation, ensuring a seamless technical and administrative setup. Manage all administrative tasks related to employee departures.
Record Keeping:
Maintain meticulous, confidential, and up-to-date employee records, both physical and digital. Ensure all personnel files and documentation are compliant and secure.
Attendance & Payroll Support:
Track and monitor daily attendance, manage employee leave requests (PTO, sick leave), and compile accurate data inputs for monthly payroll processing by the finance team.
Employee Relations:
Serve as an empathetic and confidential point of contact for staff inquiries regarding HR policies, holidays, and basic benefits.
B. Studio Administration & Operations (The Office Focus)
Office Management:
Oversee the day-to-day operation of the physical studio. This includes managing office supplies, equipment inventory, and vendor relationships (e.g., internet, cleaning, utilities).
Travel & Logistics:
Coordinate basic domestic travel bookings, accommodation, and transportation arrangements for team members as needed.
Petty Cash & Expense Tracking:
Manage and reconcile the studio's petty cash fund. Collect, organize, and submit staff expense reports to the finance team monthly.
General Support:
Handle incoming and outgoing mail and deliveries. Ensure the studio environment is organized, functional, and welcoming for all staff and visitors.
Required Software and Technical Skills
The successful candidate will be tech-savvy and quick to adopt new systems:
Office Suite:
Expert proficiency in
Microsoft Excel/Google Sheets
is essential for data tracking (recruitment status, attendance, expenses) and highly proficient in
Word/Google Docs
for preparing contracts and administrative letters.
HR/ATS Exposure:
Familiarity with a basic
Applicant Tracking System (ATS)
or HR software (e.g., BambooHR, Freshteam) is a major plus, as is the ability to quickly master new administrative tools.
Digital Tools:
Comfort using online job portals (
Indeed, LinkedIn
) and professional communication tools (Slack or Teams).

Proven ability to manage a diverse workload that shifts quickly between high-priority HR issues and urgent administrative tasks.
