Job Overview
The HR & Administrative Officer is a central role within our agency, responsible for managing our most valuable asset--our people--and ensuring our office operates efficiently. This role is perfect for a highly organized, proactive, and trustworthy individual who is comfortable handling a wide range of HR and administrative tasks. You will be the first point of contact for employee inquiries and will play a key role in supporting our team in the field and in the office.
Key Responsibilities
Human Resources (HR) Management:
Manage the full employee lifecycle for both office and field staff, including recruitment, onboarding, training, and offboarding.
Coordinate the hiring process: post job openings, screen applications, schedule interviews, and conduct reference checks.
Prepare employment contracts, offer letters, and new hire welcome packages.
Maintain meticulous and confidential employee records, including personal details, attendance, and performance data.
Administer employee compensation, benefits, and leave management (e.g., sick leave, vacation).
Support the management team in implementing company policies and resolving any employee relations issues.
Assist in organizing training sessions related to safety procedures, product knowledge, and company policies.
Help organize company meetings and team events.
Administrative Duties:
Manage front desk operations: greet visitors, answer and direct phone calls, and handle general email inquiries.
Oversee inventory of office and stationery supplies; place orders and manage vendor relationships.
Handle all incoming and outgoing mail, couriers, and important documentation.
Maintain a clean, organized, and professional office environment.
Provide direct administrative support to management, including scheduling, travel arrangements, and preparing reports.
Assist with basic bookkeeping tasks, such as processing invoices, managing petty cash, and preparing expense reports in coordination with the accounts department.
Ensure office equipment (printers, computers) is functional and coordinate with IT support when needed.
Qualifications and Skills
Required:
Proven experience (2+ years) in an administrative assistant, office manager, or HR assistant role.
High school diploma or equivalent; a degree or diploma in Human Resources, Business Administration, or a related field is a strong plus.
Excellent knowledge of MS Office (Word, Excel, PowerPoint, Outlook).
Strong organizational and time management skills, with the ability to prioritize tasks.
Exceptional communication and interpersonal skills, with a customer-service attitude.
High level of discretion and confidentiality when handling sensitive information.
Familiarity with basic agricultural terms and the industry is a significant advantage.
Preferred:
Experience with payroll processing software.
Basic understanding of labor laws and statutory compliance.
