he Assistant Manager - HR & Admin will be responsible for managing end-to-end HR functions including recruitment, induction, employee engagement, and L&D, while also handling administrative operations such as vendor management, documentation, payroll coordination, and finance liaison. This role ensures smooth HR processes and efficient office administration to support business operations.
1. End-to-End Recruitment & Exit (40%)
Recruitment:
o Identify staffing needs in collaboration with department heads.
o Create and post job advertisements on relevant platforms.
o Source, screen, and shortlist candidates.
o Coordinate interviews and conduct initial HR discussions.
o Negotiate job offers and finalize employment terms.
o Ensure complete documentation and maintain candidate records.
Exit Management:
o Manage resignations and terminations per company policy.
o Collect exit forms and feedback for continuous improvement.
o Handle clearance formalities, including handovers, asset returns, and settlements.
o Issue relieving and experience letters.
o Maintain ex-employee database and analyze trends.
2. Induction & Learning & Development Facilitation (40%)
Induction:
Plan and deliver structured onboarding and induction programs.
Familiarize new employees with company policies, culture, and processes.
Coordinate with managers for role-specific orientation.
Ensure all onboarding materials and documents are updated.
Gather and act on new hire feedback. Learning & Development:
Conduct training needs analysis in consultation with teams.
Organize training programs, workshops, and e-learning sessions.
Track and assess training effectiveness.
Maintain training records and reports.
3. Corporate Tie-ups for Pathology Employee Testing (20%)
Identify and approach potential corporate clients.
Build and sustain partnerships with HR teams of other companies.
Understand client requirements and design health screening packages.
Manage logistics for on-site testing.
Draft and manage contracts with corporate partners.
Track client feedback and recommend improvements.
4. Administrative & Documentation Tasks
Maintain and organize administrative and infrastructure-related documents. Prepare, update, and manage files, records, and reports as per standards.
5. Vendor & Third-Party Payroll Management
Coordinate with vendors for office and lab infrastructure requirements.
Manage vendor contracts, renewals, payments, and performance.
Oversee attendance and payroll documentation of third-party employees.
Liaise with third-party agencies for payroll submissions and compliance.
6. Lab Administration & Finance Coordination
Support daily lab administrative activities.
Compile and submit invoices, bills, and supporting documents to finance.
Track and follow up on payments and approvals.
7. General HR & Admin Responsibilities (Short Scope)
Facilitate employee travel arrangements and accommodations.
Verification of employee's expenses
Organize employee engagement events and activities.
Manage performance evaluation processes.
Communicate HR policies (leave, travel, etc.) effectively across teams.
Ensure workplace hygiene, discipline, and compliance with policies.
Handle employee grievances and escalate when required.
