To act as the first point of contact for patients, visitors, and attendants at the hospital. The receptionist ensures smooth patient flow through the OPD, enquiry handling, appointment scheduling, registration, and basic billing/insurance liaison, and presents a welcoming and professional image of the hospital.
Key Responsibility:
Greet patients, visitors, and attendants in a courteous and professional manner.
Answer incoming phone calls, respond to emails/WhatsApp (if used), and route inquiries appropriately.
Schedule appointments for doctors/consultants, diagnostics, follow-ups, and surgery pre-checks; update appointment calendars and remind patients as required.
Maintain and update patient registration records, including personal, medical, and insurance information.
Guide patients regarding consultation rooms, billing counters, diagnostic services, and other hospital facilities.
Liaise with insurance/TPA for pre-authorisation/checks, collect necessary documents from the patient, and forward to billing/insurance dept.
Maintain patient records/files (physical or electronic), ensure confidentiality, file properly, and archive as per hospital policy.
Maintain waiting-area ambience: ensure cleanliness, arrangement of chairs, signage, magazines, and ensure that the reception area is tidy and welcoming
Coordinate with doctors, nursing staff, and other departments to ensure smooth patient flow.
Assist with administrative tasks such as filing, data entry, report preparation, and handling patient feedback.
Maintain confidentiality of patient and hospital information.
Work in a shift schedule (if the hospital has extended OPD hours) and hand over to the next shift receptionist with all necessary information.
Qualification:
Bachelor's Degree in Any Specialization.
Experience:
1.
Overall
: 3 years of experience in a front-office/reception role in a healthcare setting or similar patient-facing environment.
2.
Relevant:
Minimum 1-2 years of experience in a hospital/clinic reception or outpatient registration context. Freshers are also welcomed.
3.
Age:
22-25 yrs.
4. Experience with managing front desk operations such as answering calls, scheduling appointments, maintaining patient records, and handling billing or payments.
5. Familiarity with Electronic Medical Record systems and hospital management software.
6. Experience in handling patient inquiries empathetically and professionally, especially in hospital environments.
