The Purchase Manager is responsible for managing the procurement of medical supplies, consumables, equipment, pharmaceuticals, and general items required for hospital operations. The role involves vendor management, price negotiation, inventory coordination, and ensuring timely availability of materials while maintaining quality and cost efficiency.
Key Responsibilities:
Procurement & Vendor Management
Source, evaluate, and finalize vendors for medical and non-medical items.
Negotiate rates, payment terms, and supply agreements.
Ensure suppliers meet quality, regulatory, and service standards.
Purchase Planning
Review stock availability and consumption trends with pharmacy, stores, lab, ICU, OT, and other departments.
Raise purchase orders (PO) based on requirement and approval levels.
Ensure timely delivery of materials to avoid stock-outs.
Inventory & Cost Control
Coordinate with Stores/Pharmacy team for inventory control.
Maintain minimum stock levels and prevent overstocking.
Monitor consumption patterns to reduce wastage and pilferage.
Compliance & Documentation
Ensure all procurements follow hospital and statutory guidelines.
Maintain proper documentation of quotations, purchase orders, vendor agreements, and payment records.
Coordinate with Accounts for timely vendor payments.
Equipment & Maintenance Support
Liaison with biomedical engineers for equipment purchase and servicing.
Evaluate AMCs, warranties, and maintenance records.
Data Analysis & Reporting
Prepare daily/weekly/monthly purchase reports.
Track vendor performance and procurement budgets.

Strong negotiation, vendor management, and costing skills.
Knowledge of medical consumables, surgical items, instruments, equipment, and pharmacy supplies.
Computer proficiency (ERP / HMS / MS Excel).
