Hospital Administrator - Job Duties and Responsibilities



1. Operational Management



Ensure smooth functioning of

OPD, IPD, Pharmacy, Diagnostics

, and

Emergency services

. Oversee patient registration, admissions, discharge process, and documentation. Coordinate across departments (nursing, lab, radiology, OT, etc.) to ensure optimal patient care. Monitor

bed occupancy, turnaround times

, and departmental efficiency. Supervise facility readiness: equipment, consumables, infection control protocols.

2. Insurance & Government Panel Management



Handle

empanelment, renewals, and liaison

with CGHS, ECHS, Ayushman Bharat, ESIC, TPA/insurance providers. Supervise pre-authorization, claim submission, rejection tracking, and payment reconciliation. Ensure documentation and turnaround times are within agreed SLAs. Coordinate with billing and MRD teams for insurance compliance.

3. Staff & HR Oversight



Supervise over

150+ in-house employees

across departments. Approve rosters, leave planning, timekeeping, and resolve HR grievances. Monitor performance, discipline, training, and appraisals. Ensure NABH-compliant staffing in critical areas.

4. Outsourced Agency Coordination (Housekeeping & Security)



Contract management and performance monitoring of

housekeeping and security vendors

. Ensure adequate deployment and adherence to duty rosters. Conduct periodic audits for

cleanliness, waste disposal, fumigation

, and

security protocols

. Organize periodic

fire drills and mock codes

in collaboration with the agencies.

5. Financial & Administrative Oversight



Assist management in budgeting and expenditure control. Authorize purchases, vendor payments, and cost-saving measures. Supervise pharmacy and general store for procurement and stock movement. Monitor collections, billing accuracy, and daily cash/revenue reporting.

6. Regulatory & Compliance Management



Ensure compliance with

NABH, PNDT, Bio-Medical Waste, AERB, Fire, Police, FSSAI,

and

Labor laws

. Conduct internal audits, coordinate licensing renewals, and statutory submissions. Lead preparations for NABH audits and internal quality assurance rounds.

7. MIS & Reporting



Daily review of: OPD/IPD footfall Emergency admissions Diagnostics load Surgeries & procedures Billing & revenue Insurance claims progress Submit

Daily MIS and Action Plan

to management and CEO. Flag operational bottlenecks and suggest improvements.

8. Patient Experience & Grievance Handling



Supervise front office, reception, and helpdesk efficiency. Ensure high standards in

patient reception, queue management, and discharge counseling

. Personally intervene in patient complaints and ensure timely resolution. Monitor feedback, complaints, and patient satisfaction surveys.

9. Infrastructure & Maintenance Coordination



Monitor maintenance of hospital premises, lifts, HVAC, plumbing, electricals, fire safety, and medical gas pipeline systems. Coordinate with outsourced

biomedical engineering

team for equipment maintenance. Track AMC contracts and call logs for urgent breakdown resolution.

10. IT & Software Oversight



Coordinate with IT support and

Hospital Information System (HIS)

vendors. Ensure uptime of OPD/IPD billing, pharmacy, lab, radiology modules. Ensure training and compliance on HIS use across departments.

11. Marketing & Outreach Coordination



Support marketing team in organizing camps, OPD promotions, and corporate tie-ups. Facilitate smooth functioning of health check-up packages and wellness programs. Track referrals and conversion ratios from outreach efforts.

12. Strategic Support



Collaborate with CEO and senior management in planning hospital expansion, service improvement, and innovation. Assist in drafting SOPs, protocols, and business development proposals. Identify areas of cost optimization, service quality enhancement, and patient safety.

Daily Must-Do Tasks



Hospital rounds twice a day (morning & evening). Staff attendance and absenteeism review. Ensure no patient concern is pending unresolved. Inter-department coordination meeting (as needed). Submit daily work report and next-day action plan to CEO/Management.

Pay: ₹74,395.61 - ₹99,516.68 per month
