Position Overview

The

Head of Expediting & Inspection

will lead and oversee all post-order activities related to vendor expediting, stage-wise inspection, quality compliance, and documentation for major equipment and material procurement. The role requires deep technical expertise in inspection methodologies, excellent vendor management capabilities, and strong leadership skills to guide a cross-functional team ensuring timely delivery and quality adherence for all project procurement packages.


Key Responsibilities

1. Post-Order Expediting & Vendor Coordination




Lead and manage all post-order expediting activities across multiple vendors and manufacturing locations. Ensure timely manufacturing progress, documentation compliance, and delivery commitments. Conduct regular expediting reviews, monitor delays, and implement corrective actions.

2. Inspection Planning & Execution




Oversee complete inspection lifecycle including stage-wise inspection, witness points, and hold points. Review and approve

Inspection Test Plans (ITPs)

for all critical packages. Conduct and lead

Pre-Inspection Meetings (PIM)

with vendors, EPC teams, and third-party inspectors. Ensure comprehensive preparation and issuance of

Inspection Assignment Packages (IAP)

. Monitor inspection activities through third-party agencies and internal inspectors to ensure protocol adherence.

3. Documentation & Reporting




Review and validate all inspection and expediting documentation, including:

+ Pre-Inspection Meeting (PIM) reports
+ Stage-wise Inspection Reports
+ Daily/Weekly Expediting Reports
+ Inspection Release Certificates (IRC)
+ Final Inspection & Disposition Reports
+ Manufacturing Data Records (MDR)
Ensure documentation completeness as per contractual and project requirements.

4. Quality & Compliance




Ensure vendor compliance with technical specifications, quality standards, and applicable codes. Identify quality risks early and drive timely resolution. Ensure alignment with corporate QA/QC standards and project-specific quality plans.

5. Team Leadership & Stakeholder Management




Lead a team of expeditors, inspectors, and third-party agencies. Coordinate closely with engineering, procurement, project management, and site teams. Maintain strong relationships with strategic vendors and inspection agencies. Drive performance, mentoring, and capability-building within the team.

6. Process Improvement




Standardize expediting and inspection processes, templates, and formats. Implement digital tracking tools for real-time progress reporting. Continuously improve efficiency of inspection workflows and documentation management.

Qualifications & Experience




Engineering graduate with

minimum 16 years of relevant experience

in expediting, inspection, and post-order procurement activities. Strong background in industrial equipment, EPC projects, power, renewable energy, oil & gas, heavy engineering, or similar sectors. Deep working knowledge of inspection processes, ITPs, PIMs, IAPs, QA/QC procedures, and vendor fabrication cycles.

Skills & Competencies




Excellent understanding of post-order operations and inspection documentation. Strong vendor and stakeholder management skills. Proven leadership abilities with experience managing large inspection/expediting teams. Proficiency in reading technical drawings, specifications, and quality codes. Strong analytical and report-writing skills. High attention to detail, with ability to manage multiple packages simultaneously.
