I. Academic Responsibilities:
1. Academic Planning and Preparation:
i. Oversee and manage the academic activities in line with the Director's guidance and
institutional objectives.
ii. Allocate subjects to faculty members at least two weeks before the start of the semester/year.
iii. Prepare and distribute the semester timetable to faculty and students, ensuring it follows the
Director's guidelines and is provided one day before class commencement.
iv. Collect and review faculty lesson plans before the semester begins to ensure adherence to
prescribed academic standards.
v. Ensure faculty workload distribution aligns with the Director's guidelines and institutional
policies.
2. Faculty Support and Performance Management:
i. Instruct faculty members on the preparation of examination papers, ensuring confidentiality
and adherence to deadlines.
ii. Review student feedback on faculty performance and communicate it to the respective
faculty, Director, and relevant coordinators.
iii. Provide ongoing support to faculty members for performance improvement based on
feedback.
iv. Monitor faculty performance across academic years and semesters for continuous
development.
v. Organize faculty development activities or workshops to improve teaching quality.
3. Student Academic Engagement:
i. Advise class teachers to prepare master registers for recording attendance and internal marks
within the first week of the semester.
ii. Communicate student attendance and internal marks to parents in collaboration with class
teachers.
iii. Counsel students with irregular attendance or those absent from mid-term assessments.
iv. Organize student project batches and assign faculty project guides according to the Director's
guidelines.
v. Assign teacher-counselors to students for academic and personal guidance at the beginning of
the academic year.
vi. Organize remedial classes or special sessions for academically underperforming students.
4. Academic Records and Compliance:
i. Ensure timely updating of departmental records, including faculty lesson plans, service files,
budget files, and other essential documents.
ii. Manage AICTE-related processes, including renewals, applications, and EVC.
iii. Take responsibility for the planning, execution, and documentation of the LIC (Local
Inspection Committee) process.
iv. Ensure that academic discipline is maintained within the department, adhering to institutional
standards.
5. Departmental Coordination:
i. Communicate departmental events and updates to relevant authorities and stakeholders.
ii. Supervise the overall functioning of the department, ensuring smooth operations.
iii. Monitor and ensure that all academic activities are aligned with institutional policies and
objectives.
II. Administrative Responsibilities:
1. Departmental Leadership and Management:
? Maintain discipline within the department, ensuring compliance with institutional policies and
procedures.
? Designate a faculty member as Head In-Charge during periods of absence, ensuring proper
continuity and accessibility of records.
? Supervise day-to-day departmental operations, ensuring alignment with institutional goals and
efficiency.
2. Attendance and Records Management:
? Submit daily staff attendance registers to the Director's office by 9:30 AM.
? Review faculty-maintained student attendance registers on a weekly basis to ensure accuracy.
? Ensure all departmental correspondence is routed through the Director's office for centralized
communication.
3. Student and Faculty Engagement:
? Regularly engage with students on academic issues, identify problems, and work with the
Director to propose solutions.
? Monitor and ensure adherence to the student dress code in collaboration with class teachers.
? Organize and plan semester or academic year activities (guest lectures, workshops, etc.) for
the benefit of faculty and students.
4. Operational and Security Management:
? Ensure the secure closure of laboratories and classrooms at the end of the day.
? Coordinate and manage departmental staff meetings bi-weekly, documenting minutes for
future reference.
? Facilitate regular meetings with teaching and non-teaching staff, and student representatives
to address academic concerns.
? Execute tasks as delegated by the Director or Management.
III. Research and Extension Activities:
1. Research Promotion and Management:
i. Foster an environment of academic inquiry by supporting and expanding departmental
research activities.
ii. Encourage faculty and students to participate in relevant research initiatives, enhancing the
department's academic reputation.
2. Industry and Community Engagement:
i. Facilitate and promote departmental involvement in extension activities, building stronger
links with industry and the community.
ii. Organize collaborative research, internships, and other industry-linked academic projects to
enhance practical learning opportunities.
