Role Overview:The Sales Administrator will be responsible for managing the order book, supporting new business development, and ensuring timely payments from distributors in the aftermarket channel.This role ensures smooth sales operations, accurate reporting, and strong coordination between the sales team, finance, and distributors.Key Responsibilities:1. Order Book Management:- Monitor and update daily order book from all channel partners.- Track order processing status from receipt to dispatch.- Coordinate with production, warehouse, and logistics for timely fulfilment.- Analyse order trends, stock availability, and suggest replenishment plans.- Prepare weekly and monthly order fulfilment reports.2. New Business Development Support:- Assist the sales team in onboarding new distributors.- Prepare dealer documentation, pricing sheets, and onboarding kits.- Maintain the database of prospective and active distributors.- Track progress of new dealers during first 6 months: orders, payments, and issues.- Support in creating presentations, proposals, and commercial quotations.3. Payments & Collections:- Track outstanding payments and credit limits for each distributor.- Send payment reminders, maintain follow-up records, and escalate delays.- Coordinate with finance team for ledger reconciliation and dispute resolution.- Highlight risky accounts and recommend corrective actions.- Support channel financing processes where applicable (HDFC, Kotak, Bajaj, etc.)4. Reporting & MIS:Maintain dashboards for:- Sales vs Targets- Order Book- Pending Payments- New Dealer Performance- Share weekly and monthly MIS with management.- Generate ad-hoc reports for management review as needed.5. Communication & Coordination:- Act as single point of contact for internal teams and channel partners.- Support sales meetings with data, presentations, and minutes.- Maintain high responsiveness and follow-up discipline.
