The Tender Executive - GeM Portal will be responsible for managing the entire tendering process on the Government e-Marketplace (GeM) portal, including bid preparation, documentation, submission, and follow-up. The candidate should have strong knowledge of GeM rules, public procurement guidelines, and experience in technical/commercial tendering for water treatment projects.
Key Responsibilities . GeM Portal Management
Create and manage company profile, product listings, and service categories on GeM portal.
Upload and update catalogues for water treatment equipment (STP/ETP/WTP/RO plants, spare parts, consumables).
Track and monitor new tenders, bids, RA (Reverse Auctions), and BOQs on GeM.
2. Tender/Bid Preparation
Download tender documents, read technical requirements, and prepare eligibility checklists.
Coordinate with technical team for specifications of STP, ETP, WTP, RO systems.
Prepare technical and financial bids as per GeM norms.
Ensure accurate pricing, taxes, compliance sheets, product specifications, and supporting documents.
3. Documentation & Compliance
Prepare documents like Authorization Letters, OEM Certificates, Product Brochures, Experience Certificates, GST, PAN, PF/ESI, Turnover Certificates, etc.
Maintain and update vendor registration on GeM.
Ensure full compliance with GeM procurement policies.
4. Reverse Auction & Bid Submission
Participate in live tenders, bids, and reverse auctions.
Submit bids within deadlines without errors.
Follow internal approval processes for bid pricing.
5. Coordination
Coordinate with sales, purchase, accounts, and technical team for tender queries.
Communicate with government buyers regarding tender clarifications, technical eligibility, and order status.
6. Order Processing
Handle order acceptance, invoice uploading, dispatch documents, and payment tracking on GeM portal.
Coordinate logistics and supply chain for timely delivery and installation of water treatment systems.
7. Reporting
Maintain MIS for tender status, bid tracker, success ratio, and order pipeline.
Prepare weekly and monthly tender reports for management.
Required Skills & Qualifications
Graduate / MBA preferred.
Minimum
1-3 years
of experience in GeM tendering (water treatment industry preferred).
Strong knowledge of
STP, ETP, WTP, RO plant products and services
.
Hands-on experience with bidding, RA, and GeM catalog management.
Excellent communication, documentation, and negotiation skills.
Proficiency in MS Excel, Word, and PDF documentation.
Ability to work under deadlines and manage multiple tenders simultaneously.
