To provide high-level secretarial, administrative, and organizational support to the senior executive(s), ensuring smooth management of their day-to-day activities, effective communication, and timely execution of tasks.
Key Responsibilities
Administrative Support
Manage and maintain executive's schedules, appointments, and travel arrangements.
Organize and coordinate meetings, conferences, and events.
Prepare and edit correspondence, reports, and presentations.
Handle confidential documents ensuring they remain secure.
Communication Management
Screen and manage phone calls, emails, and other communications.
Act as a point of contact between the executive and internal/external stakeholders.
Draft, review, and send official correspondence on behalf of the executive.
Operational Support
Maintain filing systems (physical and digital) for easy retrieval of information.
Follow up on pending tasks, deadlines, and commitments.
Prepare expense reports and assist in budget tracking.
Coordination & Liaison
Coordinate with different departments for smooth flow of information.
Arrange logistics for business trips including visas, tickets, accommodation, and itineraries.
Greet and assist visitors to the executive office.
Skills & Competencies
Excellent verbal and written communication skills.
Strong organizational and time management abilities.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
High level of discretion and confidentiality.
Ability to multitask and prioritize effectively.
Professional appearance and demeanor.
