The Front Office Receptionist is the first point of contact for clients, visitors, and staff. This role is responsible for creating a welcoming environment, managing front desk operations, and providing administrative support to ensure smooth day-to-day operations.
Key Responsibilities:
Greet and welcome visitors in a professional and friendly manner.
Answer, screen, and direct incoming phone calls.
Maintain the reception area to ensure it is tidy and presentable.
Receive, sort, and distribute daily mail, deliveries, and couriers.
Schedule appointments and manage meeting room bookings.
Assist with administrative tasks such as data entry, filing, and document preparation.
Maintain office supplies inventory and place orders when necessary.
Enforce security procedures by monitoring visitor access and issuing visitor badges.
Coordinate with internal departments for smooth front office operations.
Support HR or Admin departments with event coordination or internal communications.
Requirements:
Proven experience as a receptionist, front desk representative, or similar role.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Professional attitude and appearance.
Ability to handle sensitive information confidentially.
High school diploma; additional qualifications in office administration are a plus.
