The Front Office Executive is the first point of contact for clients, visitors, and stakeholders. This role is responsible for delivering excellent customer service, managing reception operations, coordinating with internal teams, and ensuring smooth administrative support for real estate sales, site visits, and customer queries.
Key Responsibilities1. Reception & Customer Service
Greet and assist walk-in clients, property buyers, channel partners, and visitors.
Handle incoming calls, emails, and inquiries; route them to the appropriate team members.
Maintain a professional and welcoming front office environment.
2. Client Coordination
Schedule and confirm client appointments, site visits, and meetings with the sales team.
Provide basic project information to prospective buyers.
Assist customers with documentation, verification, and booking formalities.
3. Administrative Support
Manage front desk operations, including visitor logs, courier handling, and office supplies.
Maintain updated records of inquiries, leads, and customer interactions (CRM or Excel).
Assist the sales team with paperwork such as customer application forms, agreements, and receipts.
4. Communication & Liaison
Coordinate with internal teams like Sales, Legal, Finance, CRM, and Facility Management.
Notify management about client concerns or service issues.
Support event planning, open houses, and marketing activities when required.
5. Office Management
Oversee cleanliness and presentation of the lobby and reception area.
Ensure conference/meeting rooms are booked and prepared for client meetings.
Track inventory of brochures, price sheets, and marketing materials.
Qualifications & SkillsEducation
Bachelor's degree in any discipline (Business Administration, Hospitality, or similar preferred).
Experience
1-3 years of experience in front office, customer service, hospitality, or real estate roles.
Skills
Excellent communication and interpersonal skills.
Strong customer service orientation.
Proficient in MS Office (Word, Excel) and basic CRM tools.
