The Front Office Manager oversees administrative support functions, coordinates communication between staff and families, and maintains confidentiality and professionalism at all times.
Key Responsibilities:
Front Office Operations
Manage daily front office activities to ensure smooth and efficient school operations.
Greet and assist students, parents, staff, and visitors in a courteous and professional manner.
Maintain the reception area, ensuring it is clean, organized, and welcoming.
Answer phone calls, screen inquiries, and route messages appropriately.
Handle incoming and outgoing mail, deliveries, and school correspondence.
Administrative Support:
Provide administrative and clerical support to school leadership and staff.
Maintain accurate student and staff records, attendance logs, and databases.
Assist with preparation of reports, letters, newsletters, and other communications.
Support enrollment and registration processes, including maintaining student files.
Manage scheduling of appointments, meetings, and school events.
Communication & Coordination:
Serve as the liaison between the school, parents, and the wider community.
Communicate important updates to families via email, phone, or printed notices.
Coordinate with teachers and departments to ensure smooth internal communication.
Support emergency communication and visitor check-in procedures in line with school policies.
Qualifications & Skills:
Bachelor's degree preferred.
Prior experience in office management or administrative support, preferably in an educational setting.
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
Proficiency with MS Office Suite, Google Workspace, and student information systems.
Friendly, professional demeanor with strong interpersonal skills.
