Oversee daily operations of the reception, patient registration, appointment scheduling, and inquiry desks.
Ensure timely and accurate registration of patients, including collection and verification of documents and insurance details.
Supervise patient check-in/check-out processes and maintain smooth patient flow.
Coordinate with medical, nursing, laboratory, and billing departments to ensure efficient service delivery.
Leadership & Staff Management
Recruit, train, and manage front office staff including receptionists, registration officers, and information desk personnel.
Prepare staff schedules and ensure adequate front desk coverage at all times.
Conduct performance reviews, identify training needs, and foster a patient-centered service culture.
Customer Service & Patient Relations
Ensure a welcoming and professional environment for patients and visitors.
Handle patient queries, complaints, and feedback promptly and empathetically.
Implement strategies to enhance patient satisfaction and service quality.
Administrative & Reporting Duties
Maintain accurate and confidential patient records in compliance with hospital policies and healthcare regulations (e.g., HIPAA or local equivalents).
Monitor front office budgets, cash handling, and billing coordination.
Prepare daily, weekly, and monthly operational reports for management review.
Coordinate with IT and administration teams to ensure systems and equipment are functioning efficiently.
Compliance & Quality Assurance
Ensure adherence to hospital policies, data privacy laws, and accreditation standards.
Participate in quality improvement initiatives and audits.
Maintain cleanliness, safety, and infection control standards at the front office.
Qualifications:
Bachelor's degree in Hospital Administration, Healthcare Management, Business Administration, or related field.
3-5 years of experience in hospital administration or healthcare front office management, with at least 1-2 years in a supervisory role.
Strong leadership, organizational, and interpersonal skills.
Proficiency in hospital management systems (HMS), appointment scheduling, and electronic health records (EHR).
Knowledge of medical terminology, insurance processes, and patient service standards.
Excellent communication and conflict resolution abilities.
