The Front Office Manager is responsible for overseeing all front office operations, including guest services, reservations, concierge, and bell desk. The role ensures exceptional guest experiences through seamless check-in/check-out procedures, effective team management, and consistent application of brand and service standards. Proficiency in
IDS Next
or similar hotel management software is essential for managing operations and reporting.
Key Responsibilities: Guest Service & Experience:
Ensure smooth check-in and check-out processes with minimal guest wait times.
Handle guest complaints, feedback, and special requests promptly and professionally.
Maintain high levels of guest satisfaction and ensure the delivery of personalized services.
Team Management:
Supervise and guide front office staff including receptionists, concierge, bell desk, and night auditors.
Conduct training on IDS software, service standards, upselling, and guest interaction.
Prepare duty rosters, approve leave schedules, and ensure adequate shift coverage.
System & Operations Management:
Utilize
IDS Next (or relevant PMS)
for room allocations, billing, cashiering, and report generation.
Ensure daily audits, night closing procedures, and reservation updates are correctly performed in IDS.
Collaborate with housekeeping and maintenance through IDS for room status and issue tracking.
Revenue & Reporting:
Monitor room inventory and rates in coordination with the Revenue and Reservations team.
Ensure front desk team follows upselling strategies and promotes hotel services.
Prepare daily reports (occupancy, ARR, RevPAR, etc.) through IDS and submit to management.
Standard Compliance:
Maintain SOPs for guest handling, data entry, cashiering, and emergency protocols.
Ensure compliance with health & safety regulations, data privacy, and brand standards.
Requirements:
Education & Experience:
Degree or diploma in Hotel Management or Hospitality Operations.
Minimum 4-6 years of experience in Front Office, with at least 1-2 years in a managerial role.
Hands-on experience with
IDS Next (Fortune Next, FX Front Desk, or similar modules)
is a must.
Skills & Competencies:
Strong leadership and team management abilities.
Excellent communication and guest relation skills.
Analytical mindset with good command over reporting and operational data.
Proficiency in IDS, MS Office (especially Excel), and basic financial understanding.
