The Front Office Executive in the Gynecology Department is responsible for managing patient registration, appointments, billing coordination, and providing courteous assistance to patients and visitors. They act as the first point of contact, ensuring smooth functioning and excellent patient experience within the Gynecology OPD.
Roles & Responsibilities:1. Patient Handling:
Greet and assist patients and visitors in a professional and polite manner.
Register new and follow-up patients in the hospital software.
Schedule and confirm appointments with gynecologists and consultants.
Maintain patient confidentiality and ensure privacy during communication.
Guide patients to the appropriate consultation rooms, laboratory, or pharmacy.
2. Appointment & Records Management:
Manage the daily appointment calendar for gynecology doctors.
Maintain accurate and updated patient records in the system.
Coordinate with doctors and nursing staff for smooth patient flow.
Follow up with patients for scheduled follow-up visits or procedures.
3. Billing & Payments:
Generate and process bills for consultation, procedures, or diagnostics.
Collect payments (cash, card, UPI) and issue receipts.
Reconcile daily cash and report to the finance department.
Support insurance or TPA documentation where applicable.
4. Communication & Coordination:
Answer incoming calls and respond to inquiries regarding doctor availability, services, and appointments.
Coordinate between patients, doctors, and other departments (Lab, Radiology, Pharmacy).
Inform patients about waiting times or delays.
5. Administrative Support:
Maintain daily OPD statistics and submit reports to management.
Handle filing, correspondence, and stationery requirements.
Ensure the reception area is clean, organized, and presentable.
6. Customer Service & Feedback:
Address patient queries and grievances politely and effectively.
Collect feedback from patients about services and report to management.
Maintain a patient-friendly environment.
Required Skills:
Excellent communication and interpersonal skills.
Basic computer knowledge (MS Office, Hospital Management System).
Strong organizational and multitasking abilities.
Pleasant personality and customer service orientation.
Knowledge of medical terms (especially gynecology-related) is an advantage.
Qualifications:
Graduate in any discipline (preferably in Hospital Administration or related field).
1-3 years of experience in hospital front office or OPD operations, preferably in gynecology or women's health departments.
