The Front Office Executive is responsible for providing a warm welcome to guests, managing check-in and check-out processes, handling guest queries, and ensuring an excellent guest experience. The role requires strong communication skills, professionalism, and a guest-centric approach.
Key Responsibilities
Guest Services
Welcome guests warmly upon arrival and assist them with check-in/check-out procedures.
Handle guest requests, inquiries, and complaints promptly and professionally.
Provide information on hotel facilities, services, and local attractions.
Coordinate with housekeeping and other departments for smooth room allocation.
Ensure guest satisfaction by maintaining high service standards.
Front Desk Operations
Manage reservations, cancellations, and modifications in PMS (Property Management System).
Handle billing, invoicing, cash transactions, and maintain accurate records.
Answer and route phone calls politely and efficiently.
Maintain the front desk area neat, organized, and presentable at all times.
Assist in lobby management and crowd control during peak hours.
Communication & Coordination
Communicate guest preferences and special requests to relevant departments.
Work closely with housekeeping, F&B, and engineering teams for seamless operations.
Support the Front Office Manager in daily operational duties when required.
Compliance & Standards
Follow hotel policies, procedures, grooming standards, and safety protocols.
Maintain confidentiality of guest information.
Ensure adherence to brand standards and service SOPs.
Skills & Qualifications
Graduate or diploma in Hospitality Management preferred.
Prior experience in a front office or customer service role in hospitality is an advantage.
Excellent communication and interpersonal skills.
Professional appearance and positive attitude.
Ability to multitask and work in a fast-paced environment.
Familiarity with PMS software (e.g., Opera, IDS, Cloud PMS).
Work Environment
Rotational shifts, weekends, and holiday working as per hotel operations.
Front desk, lobby, and guest interaction areas.
