The Front Office Executive serves as the first point of contact for visitors, clients, and customers. The role involves managing the reception area, handling incoming calls, coordinating administrative activities, and ensuring smooth communication within the organization. Professionalism, strong communication, and customer service skills are key to this position.
Greet and assist visitors, clients, and guests in a courteous and professional manner.
Manage the front desk and maintain a pleasant and organized reception area.
Handle inquiries (in-person, phone, or email) and direct them to the appropriate departments.
Maintain visitor logs and ensure visitor protocols and security procedures are followed.
2. Communication Management
Answer, screen, and forward incoming calls efficiently.
Receive, sort, and distribute mail, courier packages, and other deliveries.
Manage outgoing correspondence and coordinate courier dispatches.
Maintain updated contact lists of staff and key external contacts.
3. Administrative Support
Assist with scheduling meetings, conference rooms, and appointments.
Maintain and update records, databases, and filing systems.
Support HR or Admin teams with onboarding processes, ID card issuance, or basic clerical tasks.
Monitor and manage front office supplies (stationery, visitor badges, etc.).
4. Coordination & Facility Management
Liaise with housekeeping, security, and maintenance teams to ensure office readiness and cleanliness.
Report any facility or equipment issues promptly to the concerned department.
Assist in organizing internal events, meetings, and client visits.
5. Customer Service & Etiquette
Uphold the organization's image through professional appearance and conduct.
Handle customer queries and complaints with tact and efficiency.
Ensure confidentiality of sensitive information.
Qualifications & Experience:
Education:
Graduate in any discipline (preferably in Hospitality, Administration, or Commerce).
Experience:
1-3 years in front office, receptionist, or customer service roles (freshers with good communication skills may also apply).
Skills:
Excellent verbal and written communication (English, Hindi, or local language).
Proficiency in MS Office (Word, Excel, Outlook).
Pleasant personality and customer-centric attitude.
Strong organizational and multitasking abilities.
Ability to remain calm under pressure.
