Front Office Executive - Job Responsibilities 1. Patient Reception & Interaction Greet patients and visitors warmly and courteously. Manage patient check-in and check-out procedures. Answer patient queries politely and provide required information. 2. Appointment Scheduling & Management Schedule, reschedule, and confirm patient appointments. Maintain and update appointment calendar. Minimize waiting time by effective time-slot management. 3. Call Handling & Follow-ups Answer incoming calls professionally and handle inquiries. Make outgoing calls for appointment reminders, feedback, and treatment follow-ups. 4. Record Keeping & Documentation Maintain accurate patient records, case histories, and billing details. Ensure proper documentation for new and returning patients. 5. Billing & Payments Prepare and issue invoices and receipts. Handle cash, card, and UPI payments with accuracy. Maintain daily cash register and payment logs. 6. Coordination with Clinical Staff Coordinate between patients and doctors for smooth workflow. Communicate treatment plans and schedules clearly. 7. Cleanliness & Ambience Management Ensure the front office and reception area are clean, well-maintained, and presentable. Manage patient refreshments, if applicable. 8. Reporting & Feedback Share daily reports with clinic management. Collect patient feedback and handle complaints with grace. 9. Inventory & Stationery Management Monitor and request front office supplies. Manage forms, brochures, and clinic promotional material stock. 10. Digital & Software Handling Operate clinic management software efficiently. Manage digital records, appointment systems, and teleconsultation coordination.
