The Front Office Executive will serve as the first point of contact for visitors, clients, and staff while managing the reception area and providing administrative support. This role requires excellent communication skills, a professional demeanor, and strong organizational abilities.
Key Responsibilities
Reception & Guest Handling
Welcome and assist visitors, ensuring a professional and hospitable reception experience.
Answer and direct phone calls, take messages, and handle inquiries efficiently.
Manage the visitor logbook and maintain security protocols for guest entry.
Administrative Support
Handle incoming and outgoing correspondence, including emails, letters, and packages.
Assist in scheduling appointments, meetings, and conference room bookings.
Maintain and update records, files, and databases as required.
Coordinate with internal departments for smooth office operations.
Front Office Management
Ensure the reception area is clean, organized, and presentable at all times.
Manage office supplies related to front desk and place orders when required.
Support senior management in arranging logistics for meetings or events.
Other Responsibilities
Assist HR or Admin teams with basic documentation, data entry, or other administrative tasks.
Handle ad-hoc tasks as assigned by the management.
