The Front Office Executive serves as the face of the company, creating a positive first impression for clients, guests, and employees. This role involves managing reception duties, coordinating front desk activities, and providing administrative support to ensure smooth day-to-day operations in a professional corporate setting.
Key Responsibilities:
Greet and assist visitors, clients, and vendors in a courteous and professional manner.
Answer, screen, and direct phone calls to appropriate staff members.
Maintain a clean and organized reception area.
Manage meeting room bookings and coordinate conference room schedules.
Receive and distribute mail, packages, and other correspondence.
Maintain visitor logs and ensure adherence to office security protocols.
Provide general administrative support including filing, data entry, photocopying, and scanning.
Coordinate office supplies inventory and order replacements as required.
Assist in scheduling meetings, appointments, and internal events.
Communicate effectively with internal departments to support daily operations.
Requirements:
Bachelor's degree or equivalent preferred.
Minimum 1-2 years of experience in a similar front office or administrative role.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Excellent verbal and written communication skills.
Strong interpersonal and organizational abilities.
Ability to multitask and prioritize in a fast-paced environment.
Professional appearance and a customer-oriented mindset.
Preferred Skills:
Knowledge of corporate etiquette and basic administrative procedures.
Ability to handle confidential information with discretion.
