Position Summary:
We are seeking a highly professional, organized, and empathetic Front Office Executive / Receptionist to be the face of our facility. The ideal candidate will be the first point of contact for patients, families, and visitors, creating a welcoming and supportive environment. This role is crucial for ensuring the smooth operation of the front office and providing excellent customer service.
Key Responsibilities:
Greeting and Welcoming:
Greet all patients, visitors, and staff with a warm, friendly, and professional demeanor.
Patient & Visitor Management:
Direct visitors to the appropriate person or department.
Manage the visitor log and issue visitor passes as per company policy.
Answer general inquiries and provide information about company's services.
Communication:
Answer and direct incoming calls in a timely and professional manner.
Handle correspondence, including emails and mail, and distribute it to the relevant staff.
Take messages and ensure they are delivered accurately and promptly.
Administrative Support:
Manage appointments and scheduling for various departments (e.g., therapists, doctors).
Maintain a clean and organized reception area.
Perform basic administrative tasks such as filing, photocopying, and data entry.
Assist with billing and patient record management as needed.
Crisis & Emergency Response:
Remain calm and professional during emergencies.
Follow established protocols to notify appropriate staff and emergency services.
Coordination:
Liaise with different departments to ensure seamless communication and operations.
Assist with coordinating patient admissions and discharges.
Required Qualifications and Skills:
Education:
A bachelor's degree or equivalent is preferred.
Experience:
Previous experience in a front office, receptionist, or customer service role, preferably within a healthcare or similar environment.
Communication:
Excellent verbal and written communication skills in English, Hindi, and Gujarati.
Strong interpersonal skills and a compassionate, empathetic nature.
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Experience with hospital management software or patient management systems is a plus.
