The Front Office Executive is the first point of contact for patients and visitors. The role involves ensuring smooth patient registration, handling inquiries, managing billing coordination, and providing excellent customer service while maintaining hospital protocols.
Greet patients and visitors politely and professionally.
Register OPD/IPD patients in the HIS software.
Verify and update patient details and collect necessary documents.
Guide patients regarding consultation rooms, waiting areas, and processes.
B. Billing & Cash Handling
Prepare OPD bills, follow-up bills, and collect payments.
Handle cash, card, and UPI transactions responsibly.
Maintain daily cash closing and submit reports as required.
C. Appointment & Queue Management
Schedule appointments for consultants and maintain daily appointment lists.
Manage patient queues, tokens, and waiting time efficiently.
Coordinate with nursing staff and departments to reduce patient delays.
D. Communication & Coordination
Attend telephone calls and provide accurate information.
Coordinate with departments like OPD, IPD, Pharmacy, Lab, Radiology, Billing, and MRD.
Inform the consultants about patient arrivals and pending cases.
E. Documentation & Record Maintenance
Maintain patient forms, consent forms, feedback forms, and other required documentation.
Ensure all files are arranged, updated, and handed over to MRD on time.
Follow confidentiality protocols related to patient information.
F. Customer Service
Assist patients with admission and discharge procedures.
Address patient queries, concerns, and guide them throughout the process.
Ensure a polite, helpful, and empathetic approach at all times.
G. Compliance & Professional Conduct
Follow hospital SOPs, protocols, and safety guidelines.
Maintain cleanliness and discipline at the reception desk.
Uphold professional grooming and communication standards.
Skills & Competencies
Excellent communication and interpersonal skills.
Basic computer knowledge & experience with HIS / hospital software.
Ability to multitask and work under pressure.
Good customer service attitude.
Strong attention to detail and accuracy.
Qualification & Experience
Education:
Graduate (Any discipline); Diploma in Hospital Administration preferred.
Experience:
1-3 years in front office/ reception, preferably in a hospital or healthcare setup.
Working Conditions
Rotational shifts (morning/evening/night) as per hospital policy.
Availability during emergencies or high patient flow.
