Job Summary
The Front Office Executive serves as the first point of contact for parents, students, visitors, and staff. This role ensures smooth daily operations of the school's front desk by managing communication, handling inquiries, maintaining records, and providing administrative support to the management team.
Key Responsibilities
Front Desk & Communication
Greet and assist parents, students, and visitors in a courteous and professional manner.
Answer and route phone calls, emails, and messages promptly.
Maintain visitor logs and issue visitor passes as per school security procedures.
Coordinate appointments and meetings for school management or teaching staff.
Administrative Support
Handle incoming and outgoing correspondence (letters, couriers, notices, circulars).
Maintain up-to-date records of student and staff contact information.
Assist in student admissions, documentation, and data entry.
Support the Principal's office and administrative department in day-to-day tasks.
Manage the reception area to ensure it is tidy, welcoming, and organized.
Coordination
Liaise with parents regarding school events, schedules, and announcements.
Assist in organizing school events, meetings, and parent-teacher interactions.
Coordinate with transport, accounts, and other departments as needed.
Record Keeping & Reporting
Maintain attendance registers, visitor logs, and communication records.
Prepare daily/weekly administrative reports as assigned.
Qualifications & Skills
Education:
Bachelor's degree in any discipline (preferably in Administration, Management, or similar field).
Experience:
2-5 years of experience in front office or administrative roles, preferably in an educational institution.
Skills:
Excellent communication and interpersonal skills.
Proficiency in MS Office (Word, Excel, Outlook).
Strong organizational and multitasking abilities.
Presentable and professional demeanor.
Ability to handle confidential information with discretion.
Fluency in English (and local language, if applicable).
Work Environment
Office-based position within school premises.
Requires interaction with students, parents, teachers, and visitors daily.
Working hours as per school schedule.
