Job Description

Core Responsibility of all Executives:



To attain patient/relatives/ visitors promptly on desk & to guide, solve, & assist them as per the requirement.

To maintain all registers as per the standard requirements.

To aware about the scope of services of Hospital.

To aware about the all emergency codes process handling.

Any other task assigned to you time to time by the management.

To get the refilling done from the vendor for Front desk, OPD & Billing departments.

Function: Enquiry



Greet and receive visitors Maintain updated information on all activities of the hospital
a. Consultant availability

b. Tariff

c. Events of the hospital

d. Service availability and unavailability

Maintain all protocols of the hospital. Maintain all flyers/pamphlets of the hospital. Maintain complaint and feedback mechanism. Maintain information on major shut downs (maintenance work, software work, bio medical equipment maintenance) which will affect customer service. To maintain documents inward & outward registers on the desk.

Function: Appointment Desk



Fix appointment of consultants for the patients on phone, personally and checking online appointment Check & cross check the appointments entries in the system with secretaries Collect the duty rosters of duty doctors and consultants for the month. Inform Health Packages details to the patients and do follow up by phone. Provide directions to the patients and attainders to the doctors or concern places. Help the patients and attainders to fill the OP registration form
Function: Registration

Ensure that the patient is not registered more than once. Ensure that all fields in the registration module are completed ( patients name, Father/Husbands name, Mothers name, Age/Sex, Address, Phone no., Doctors name, Marital status)
Ensure that the names and addresses are as per the voter ID/insurance/ policy/corporate ID.

Ensure that the entries are error free.
Function: Billing Explain the tariff correctly and clearly

Ensure right billing for the Consultation/ investigations to the right person. Explain the prerequisites for investigation Ensure the required service is available(Ex CT, MRI, Mammography) Ensure that patients have appointments wherever needed. Maintain an updated list of services available/not available. Collect cash or payment by credit cards Tallying cash with scroll. Submitting cash as per scroll. Hand over cash to cashier or make sure it has been handed over. Authorized credit cards to be specified. Concession and refunds to be done with proof. Any changes to be done in the software to be given in writing or online requisition to Manager and followed up. Any changes in the tariff to be updated by the EDP.

Function: Admission



Reserve rooms for patients. Ensure availability of rooms for patients who have reserved the rooms.
Admit right patient in the right room under the right consultant.

Ensure allotment of room as per the eligibility of the credit patients.
Counsel patients regarding room tariff, rules and regulations and visiting hours for inpatients.

Ensure the patient information form to be filled by the patient/patient attainder.

Explain the IP packages-inclusions and exclusion. Complete admission record. Guiding patients' relative for depositing the billing requisite.
To explain visitors policy to relatives by dispatching pass & to maintain record of it.

To provide palash system training to the new users.
