The Front Office Executive is the face of the resort, responsible for delivering a warm welcome, efficient check-in/check-out services, handling guest queries and concerns, coordinating reservations, and ensuring overall guest satisfaction. This role requires excellent communication, a pleasant demeanor, and a proactive approach to hospitality.
Greet guests warmly on arrival with a professional and friendly attitude.
Handle guest check-ins and check-outs smoothly using the PMS (Property Management System).
Address guest concerns and complaints promptly and courteously, escalating complex issues to senior staff when needed.
Maintain a high level of guest satisfaction by anticipating needs and providing personalized service.
Promote in-house offerings such as spa, dining, events, and local attractions.
2. Reservations & Room Management:
Handle room bookings (walk-ins, online, phone, travel agents, corporates).
Update daily occupancy and room availability.
Coordinate closely with housekeeping and maintenance for room status updates.
Ensure VIP, group, or long-stay guest preferences are noted and met.
3. Cashiering & Billing:
Maintain accurate records of guest folios and transactions.
Process payments via cash, cards, or billing accounts.
Generate invoices, bills, and receipts for guests during checkout.
Maintain proper float and hand over shift summaries to the next shift.
4. Communication & Coordination:
Liaise with all departments (Housekeeping, Food & Beverage, Sales, Security) to ensure seamless service delivery.
Maintain clear communication logs and handovers between shifts.
Answer phones and emails efficiently and with proper etiquette.
5. Record Keeping & Reporting:
Maintain guest history, preferences, and feedback in the system.
Prepare daily reports on arrivals, departures, occupancy, and guest feedback.
Track lost & found items and maintain relevant logs.
Key Skills & Competencies:
Excellent verbal and written communication
Proficiency in MS Office and hotel management software (e.g., Exceed, Opera, or equivalent)
Strong organizational and time-management skills
Customer-centric attitude with problem-solving abilities
Pleasant appearance and grooming
Ability to multitask under pressure
Educational Qualification:
Graduate/Diploma in Hospitality Management or related field
Experience:
1-3 years in a front office role in a resort or hotel preferred
(Freshers with exceptional communication and grooming may be considered)
Working Conditions:
Rotational shifts including weekends and holidays
Standing for extended periods during shift
Required to wear the prescribed uniform and ID at all times
