Job Summary:
The Front Office Executive is responsible for providing exceptional service to patients and visitors by handling front desk operations efficiently. This includes patient registration, appointment scheduling, handling inquiries, billing coordination, and ensuring a smooth check-in/check-out process. Only candidates with
prior experience working in a hospital environment
will be considered.
Key Responsibilities:
Greet and assist patients, attendants, and visitors courteously at the front desk.
Manage patient registration and admission procedures using hospital management software (e.g., HIS, ERP systems).
Schedule, reschedule, and confirm appointments for consultations, diagnostics, or procedures.
Guide patients through billing and payment processes, including collecting consultation fees and generating receipts.
Coordinate with various hospital departments (e.g., OPD, Diagnostics, Inpatient, Billing) to ensure smooth patient flow.
Handle patient queries and complaints professionally and escalate unresolved issues to the Front Office Manager.
Maintain confidentiality of patient information at all times in compliance with hospital policy and data protection regulations.
Update patient records accurately and ensure all documentation is complete.
Manage phone calls and inquiries efficiently.
Monitor and maintain cleanliness and order in the front office area.
Requirements:
Minimum Experience:
1-3 years of experience in a hospital front office or reception role (non-hospital experience will not be considered).
Education:
Graduate in any discipline; a degree/diploma in Hospital Administration or Healthcare Management is a plus.
Technical Skills:
Proficiency in hospital information systems (HIS), MS Office, and basic billing/registration software.
Soft Skills:
Excellent communication, interpersonal skills, patience, and a customer-oriented attitude.
Language Proficiency:
Fluency in [local language], English, and/or Hindi (as applicable).
Preferred Qualities:
Familiarity with NABH processes and hospital protocols.
Experience in multi-specialty or tertiary care hospitals.
Ability to manage high patient volumes calmly and efficiently.
