Job Summary:
The Front Office Executive is responsible for handling the front desk operations, greeting visitors, answering phone calls, managing the reception area, and providing administrative support to the team. She serves as the first point of contact for clients, guests, and employees, ensuring a positive experience and professional environment.
Key Responsibilities:
Reception Management:
Greet visitors and direct them to the appropriate person or department.
Answer, screen, and forward incoming phone calls while maintaining confidentiality.
Maintain a neat and organized reception area.
Visitor Assistance:
Provide accurate information about the company and answer general inquiries.
Register and issue visitor badges and maintain visitor logs.
Administrative Support:
Handle basic administrative duties such as filing, copying, scanning, and emailing.
Schedule appointments and manage meeting room bookings.
Assist in coordinating office events and meetings, including preparing materials and refreshments.
Data Management:
Maintain and update contact lists and employee directories.
Track and record incoming and outgoing mail, packages, and couriers.
Office Coordination:
Manage office supplies inventory, restock as needed, and place orders with vendors.
Coordinate with other departments for office maintenance, repairs, and cleaning.
Customer Service:
Handle customer inquiries and concerns professionally and promptly.
Assist in ensuring customer satisfaction by providing a positive front-office experience.
Qualifications:
1. Bachelor's degree in Business Administration, Communications, or a related field (preferred).
2. Proven work experience as a Front Office Executive, Receptionist, or similar role.
3. Proficiency in MS Office Suite (Word, Excel, PowerPoint).
4. Familiarity with office management procedures and basic accounting principles (preferred).
