The Front Office Executive serves as the first point of contact for patients and visitors at the eye hospital. The role involves managing patient registration, appointments, billing coordination, and providing excellent customer service to ensure a smooth and pleasant patient experience.
Key Responsibilities
1. Patient Reception & Registration
Greet patients and visitors courteously and guide them to appropriate counters or departments.
Manage patient registration, collect required personal and medical details, and update them in the hospital management system.
Ensure all new and returning patients are registered accurately and efficiently.
2. Appointment Management
Schedule, confirm, and reschedule appointments for consultations, diagnostic tests, and surgeries.
Coordinate with doctors, optometrists, and nursing teams to ensure smooth patient flow.
Maintain daily appointment logs and manage walk-ins professionally.
3. Customer Service
Address patient queries related to services, doctors' schedules, waiting times, and procedures.
Assist elderly patients and those with visual impairments by providing additional support when needed.
Handle patient feedback, complaints, and escalate issues to management as required.
4. Billing & Payments
Generate bills for consultations, diagnostic services, and procedures.
Handle cash, card, UPI, and other payments and ensure accurate billing entries.
Coordinate with the accounts team for daily reconciliation of payments.
5. Coordination & Communication
Communicate with clinical teams for patient movement, reports, and procedure readiness.
Coordinate with optical shop, pharmacy, diagnostic labs, or insurance desk as required.
Maintain and update daily patient records, reports, and MIS.
6. Administrative Support
Manage front desk area, ensure cleanliness, availability of forms, brochures, and patient information.
Handle incoming calls, messages, and emails professionally.
Maintain confidentiality of patient information and adhere to hospital policies.
Qualifications & Requirements
Education:
Graduate or Pursuing in Graduate.
Experience:
0 -1 years of experience in front office operations; experience in eye hospitals or healthcare.
Skills:
Excellent communication and interpersonal skills
Basic computer proficiency (MS Office, Hospital Management System)
Strong organizational and multitasking abilities
Patient-friendly and service-oriented attitude
Ability to stay calm in busy or stressful situations
Work Environment
Fast-paced OPD and diagnostic environment.
Requires interaction with patients of all age groups, including elderly and visually impaired individuals.
May require occasional extended or weekend hours based on OPD load.
