The Front Office Executive serves as the first point of contact for visitors, clients, and vendors. The role involves managing the reception area, coordinating communication, assisting in administrative duties, and ensuring a professional and welcoming environment at all times.
Greet visitors warmly and ensure they are attended to professionally.
Maintain visitor logs and issue visitor passes.
Coordinate with departments for meetings and appointments.
Maintain cleanliness and presentation of the reception area.
2. Communication Handling
Manage incoming phone calls, emails, and courier dispatches.
Route calls/messages to respective departments promptly.
Handle inquiries and provide basic information about the company and projects.
3. Administrative Assistance
Assist HR and Admin teams in day-to-day operations (attendance sheets, record management, stationery tracking, etc.).
Schedule meetings, manage conference room bookings, and prepare refreshments for guests.
Support in event coordination, documentation, and internal communications.
4. Client & Guest Relations
Welcome clients for meetings or site visits.
Coordinate with the Sales & Marketing teams for client appointments and follow-ups.
Maintain a pleasant and professional demeanor in all interactions.
5. Office Coordination
Ensure smooth coordination between departments for administrative support.
Maintain inventory of front-office supplies and place orders when necessary.
Oversee courier, dispatch, and logistics of documents.
Skills & Qualifications:
Bachelor's Degree in any discipline (preferred: Hospitality, Management, or Commerce).
1-3 years of experience in front office, admin, or customer service roles.
Excellent communication skills (English, Hindi, and local language).
Proficient in MS Office (Word, Excel, Outlook).
Well-groomed, polite, and confident personality.
Strong multitasking and interpersonal abilities.
Work Environment:
Location: Corporate Office / Site Office
Timings: 10:00 AM - 7:30 PM (flexible as per company schedule)
