Roles and Responsibilities of a Front Office Executive
1. Reception and Guest Management
Greet visitors and clients in a warm, courteous, and professional manner.
Maintain the reception area -- clean, organized, and welcoming.
Handle guest inquiries, appointments, and walk-ins efficiently.
Manage visitor logs, issue visitor passes, and ensure security protocols are followed.
2. Communication and Coordination
Answer, screen, and forward incoming phone calls promptly.
Handle emails, messages, and correspondence accurately and professionally.
Coordinate with internal departments (HR, Admin, Accounts, etc.) for day-to-day office operations.
3. Administrative Support
Maintain records of courier dispatches, and incoming mails.
Assist in scheduling meetings, appointments, and conference room bookings.
Support administrative and clerical tasks such as photocopying, filing, and maintaining databases.
Assist in travel arrangements, hotel bookings, and office event coordination.
4. Customer and Employee Interaction
Provide basic information to clients, employees, and visitors about company services and operations.
Handle customer queries or redirect them to the concerned department.
5.Record Keeping and Reporting
Maintain and update contact lists, visitor records, and administrative reports.
Track expenses related to front office activities.
6. Office Management
Coordinate with vendors and service providers for maintenance and utilities.
Ensure front office equipment (telephones, printers, etc.) are functional and serviced regularly.
Maintain confidentiality of sensitive company information and documents.
