The Front Office Executive (GRE) serves as the first point of contact for visitors, clients, and guests. The role is responsible for handling reception duties, managing calls, coordinating appointments, and ensuring a smooth and welcoming experience for all visitors while supporting daily front-office operations.
Greet visitors, patients, or guests professionally and courteously.
Manage the front desk, attend to inquiries, and provide accurate information.
Ensure guests are directed to the appropriate department or personnel.
Maintain a pleasant and professional demeanor at all times.
2. Communication Management
Handle incoming phone calls and emails, route them to the concerned staff, and record messages when necessary.
Manage internal and external correspondence efficiently.
Maintain an updated directory of staff, departments, and contacts.
3. Appointment & Coordination
Schedule and manage appointments, meetings, and conference room bookings.
Coordinate with different departments for guest or patient requirements.
Support administrative and facility management activities when required.
4. Documentation & Record Keeping
Maintain visitor logs, ID registers, and other front-office records.
Manage courier services (incoming and outgoing).
Keep track of office supplies and raise requisitions for front-office materials.
5. Customer Service & Professionalism
Address guest or patient queries promptly and escalate concerns when necessary.
Maintain confidentiality of sensitive information.
Uphold company standards for hygiene, grooming, and behavior.
Skills & Competencies:

Proficiency in MS Office (Word, Excel, Outlook) and front office management software.

Qualifications & Experience:
Education:
Graduate in any discipline (Hotel Management or Administration preferred).
Experience:
1-3 years in front office, guest relations, or customer service (hospital, hotel, or corporate setup).
